Join to apply for the Procurement Senior Specialist – Automation & Transformation (12-Month FTC) role at Smart Pension

At Smart, our mission is to transform retirement, savings and financial wellbeing, across all generations, around the world.

THE ROLE

(12 Month Fixed-Term Contract)

We are seeking a Procurement Senior Specialist to support a 12-month procurement transformation initiative, with a strong focus on implementing automation, simplifying processes, and enhancing the efficiency and transparency of procurement operations.

This is a key delivery role in a high-impact project to modernise procurement through technology adoption—including workflow automation, digital contract management, and supplier performance tracking tools. You’ll collaborate closely with cross-functional teams to redesign procurement processes, embed new systems, and ensure long-term scalability and compliance.

Key Responsibilities

Procurement Automation Implementation

  • Lead the deployment of automation tools and digital platforms across the procurement lifecycle
  • Map current procurement processes and identify automation opportunities for efficiency and control.
  • Collaborate with IT and procurement technology vendors to configure, test, and roll out tools.
  • Develop training, documentation, and support structures to enable adoption across the business.

Process Redesign & Transformation

  • Redesign end-to-end procurement workflows to align with automation capabilities and best practices.
  • Standardise templates, policies, and data requirements to enable seamless processing.
  • Establish automated reporting and dashboards for procurement metrics and KPIs.
  • Collaborate with Finance and Accounts Payable teams to ensure the P2P process is efficient, compliant, and effectively supports business operations

Contract & Compliance Oversight

  • Digitise and streamline the contract review and approval process
  • Work with Legal and Compliance to ensure digital procurement solutions meet regulatory and internal policy standards.
  • Implement controls within digital systems to enforce procurement policy compliance.

Supplier & Stakeholder Engagement

  • Support supplier onboarding to new platforms and digital communication tools.
  • Improve supplier visibility and performance tracking through digital scorecards and dashboards.
  • Partner with internal stakeholders (Legal, Finance, IT) to align on objectives and manage change.

Project Delivery & Reporting

  • Maintain clear documentation of automation initiatives, timelines, and system configurations.
  • Report regularly on progress, savings, adoption rates, and operational improvements to senior leadership.
  • Support internal audit and governance through robust digital record-keeping and policy alignment.

Who We Are Looking For

The skills, experience, and aptitudes we are looking for are listed below but please don’t be discouraged from applying if you don’t meet every single one of these criteria – having a ‘can do’ attitude is sometimes more important than being able to tick every box:

  • Automation Implementation: Delivery of key procurement automation tools on time and within scope.
  • Process Efficiency: Reduction in manual processes, approval times, and administrative workload.
  • Digital Adoption: High user adoption and positive feedback across business units.
  • Compliance & Governance: Strengthened compliance through built-in system controls and audit readiness.
  • Operational Insights: Availability of real-time procurement metrics and supplier performance data.
