Responsibilities

  • Raise, process, and manage purchase orders in line with company procedures and approval processes.
  • Assist with the procurement of mobile phones, devices, accessories, and other business requirements.
  • Obtain supplier quotations and compare pricing, availability, and delivery times.
  • Liaise with suppliers to confirm pricing, place orders, and monitor delivery timescales.
  • Track outstanding orders and follow up with suppliers regarding delays, shortages, discrepancies, or damaged goods.
  • Maintain procurement records, including purchase orders, supplier details, quotations, and pricing.
  • Update and maintain procurement systems, databases, and spreadsheets.
  • Work with Finance to resolve invoice queries, pricing discrepancies, and payment issues.
  • Ensure all purchasing activity complies with budgets and approvals.
  • Build relationships with suppliers and internal stakeholders.
  • Identify and elevate purchasing issues to the Procurement Manager.

Job description

Job Title: Procurement Administrator

Location: Waltham Abbey, Essex

Working Hours: Monday to Friday, 9:00am - 5:30pm

Working Arrangement: 100% Office Based

Role Purpose

The Procurement Administrator will provide day-to-day support to the Procurement Manager and wider business, assisting with purchasing activities and ensuring orders are processed accurately, efficiently, and in line with company procedures.

The role will involve managing purchase orders, liaising with suppliers, maintaining accurate procurement records, and supporting the purchase of mobile phones, devices, accessories, and other business requirements.

Working closely with internal teams, Finance, and external suppliers, the Procurement Administrator will help ensure purchasing requirements are fulfilled on time, within budget, and in accordance with company policies, approval processes, and procurement standards.

This is a fully office-based role in Waltham Abbey and requires an individual with previous purchasing, buying, procurement, or supply chain experience.

Key Responsibilities
  • Raise, process, and manage purchase orders in line with company procurement procedures and approval processes.
  • Assist with the procurement of mobile phones, devices, accessories, and other business requirements.
  • Obtain supplier quotations and compare pricing, availability, and delivery times to support cost-effective purchasing decisions.
  • Liaise with suppliers to confirm pricing, place orders, and monitor delivery timescales.
  • Track outstanding orders and proactively follow up with suppliers regarding delays, shortages, discrepancies, or damaged goods.
  • Maintain accurate and up-to-date procurement records, including purchase orders, supplier details, quotations, and pricing.
  • Update and maintain procurement systems, databases, and spreadsheets, ensuring information is accurate and current.
  • Work closely with the Finance team to resolve invoice queries, pricing discrepancies, and payment-related issues.
  • Ensure all purchasing activity is carried out in line with company policies, agreed budgets, and relevant approval processes.
  • Build and maintain effective working relationships with suppliers and internal stakeholders.
  • Identify and elevate purchasing issues, risks, or discrepancies to the Procurement Manager in a timely manner.
  • Provide general administrative and day-to-day support to the Procurement Manager and wider team as required.
  • Assist with maintaining accurate supplier and product information to support efficient purchasing activity.
  • Support the wider Procurement function with administrative and operational tasks as required.
Essential Experience and Skills
  • Previous experience in purchasing, buying, procurement, supply chain, or a similar commercial environment is essential.
  • Experience of raising and managing purchase orders.
  • Experience liaising with suppliers and obtaining quotations.
  • Good understanding of purchasing and order management processes.
  • Strong administrative and organisational skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple orders and priorities effectively.
  • Confident communicating with suppliers and internal stakeholders.
  • Good numerical and commercial awareness, with the ability to compare pricing and identify discrepancies.
  • Good working knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to maintain accurate records and work within established procedures and approval processes.
  • Proactive approach to following up outstanding orders and resolving purchasing issues.
  • Ability to work effectively as part of a team while also managing individual responsibilities.
