We are now looking for a Private Client Legal Secretary and Administrative Assistant to join our growing team. If you are passionate about delivering exceptional service and enjoy working in a dynamic, client-focused environment, we’d love to hear from you.

Role and responsibilities

In this role, you will be responsible for providing secretarial and administrative support to fee earners within the Private Client team, as well as supporting other teams when needed (including sickness and holiday cover). Your key responsibilities will include:

  • Document preparation: Preparing and processing documentation and forms related to private client matters
  • Case management: Managing case files and client records using our case management system and databases
  • Audio and copy typing: Producing accurate legal documents and file notes via the pool system
  • Diary management: Managing and coordinating fee earners’ schedules, including meetings and appointments
  • Compliance and financial support: Assisting with money laundering checks, cash room entries and preparing fee notes
  • Client and third party communication: Communicating with clients and third parties as required
  • General administration: Scanning mail, photocopying, binding documents, and archiving files as well as booking travel and accommodation and handling invitations/providing logistical support as needed
  • Cross-team support: Providing general administration support to other teams as needed (for example in periods of sickness or absence)

Person specification

  • Previous experience in a legal secretarial or administrative role
  • Strong organisational skills with the ability to manage multiple tasks and meet deadlines
  • Proficiency in case management software and digital dictation
  • Excellent typing skills
  • Strong communication skills with the ability to liaise professionally with clients, colleagues and third parties
  • A proactive and adaptable approach to work, with the ability to work independently and as part of a team
