Private Client Legal Assistant, Shepton Mallet

Job Overview

Support the Head of Department in providing legal services by assisting fee earners and clients with legal tasks.

Responsibilities and Duties

  1. Assist Fee Earners in managing caseloads and executing legal procedures as directed.
  2. Handle file-related queries face-to-face or via telephone.
  3. Complete tasks competently within set timescales.
  4. Take dictations and perform typing duties.
  5. Coordinate with the Accounts Department on payments and financial matters.
  6. Maintain high standards of work, attention to detail, organization, and efficiency under pressure.
  7. Communicate with clients and contacts, handle queries, take instructions, and conduct correspondence and calls.
  8. Report work issues or problems immediately to management.
  9. Ensure compliance with firm policies and procedures.
  10. Use the Case Management system proficiently.
  11. Enhance the firm's client base through effective liaison with existing clients.
  12. Identify cross-selling opportunities to maximize firm potential.
  13. Manage personal work allocation, productivity, and quality with minimal supervision.
  14. Perform other clerical and administrative duties as reasonably required.

Experience Required

  1. Recent experience working within a Private Client Department.
  2. Experience assisting with Wills, Probates, LPAs, and Estate Administration caseloads.
  3. Practical experience handling client inquiries face-to-face and by telephone.
  4. Confident and articulate with a robust approach to relationships and interactions.
  5. Ability to work quickly and accurately under pressure, adhering to deadlines.
  6. IT literate with good keyboard skills; proficiency in Microsoft Office is essential.
  7. Studying for Membership of the Institute of Legal Executives.
  8. Knowledge of case management systems.
  9. Commitment to personal development.
