Job description

Welbeck Surgery is now looking to recruit an experienced, enthusiastic person to join our team as a Receptionist/Administrator. The available hours are full time (37.5), or this can be split into two part-time jobs. Flexibility with hours/days is possible.

This is an extremely busy role which requires hard work, the ability to multi-task, and a good sense of humour. You will need to be able to deal with multiple demands on your time, prioritize effectively, and provide excellent customer service while maintaining a professional appearance. Previous relevant experience is desirable but full training will be provided.

Main duties of the job
  • Manage the reception desk to ensure clinics run smoothly and efficiently.
  • Provide excellent customer service over the phone and face-to-face.
  • Prioritize daily tasks to ensure timely completion.
  • Greet and assist patients and visitors courteously and efficiently.
  • Perform various administrative duties.
  • Support workflow with appropriate coding.
  • Attend team training and development sessions.

This role involves greeting, assisting, and directing patients, providing general support to the practice team, and performing administrative tasks to ensure smooth operations.

Job responsibilities
  • Manage the reception desk to ensure smooth and efficient surgeries.
  • Answer calls, take messages, and pass on information appropriately.
  • Handle queries regarding repeat prescriptions following practice guidelines.
  • Act as a point of contact for patients and facilitate communication between patients, doctors, and other healthcare professionals.
  • Complete reception and administrative tasks as needed.
  • Open and close the practice as required, ensuring readiness for sessions.
  • Perform photocopying, scanning, and shredding as requested.
  • Maintain confidentiality at all times.
  • Be familiar with all practice procedures and policies, working according to protocols.
  • Complete tasks assigned by managers or GPs.
  • Perform system searches as requested.
  • Maintain the waiting area and notice boards.
  • Participate in team training and development.
  • Assist with filing medical records and results.
  • Attend protected learning sessions when required.
  • Register patients according to practice policies.
  • Take a lead in specialized areas as part of personal development.
  • Provide flexible cover for staff sickness and leave.
