Main duties of the job

Overseeing day-to-day operations of the practice to ensure smooth, efficient, and safe service delivery

Leading a team of administrative staff, fostering a positive culture and high levels of performance

Ensuring compliance with NHS regulations, CQC standards, GDPR, safeguarding, and health & safety requirements

Managing finances, budgets, and NHS claims, including QOF and Enhanced Services

Working closely with DHU leadership and PCN partners to deliver innovative care models

Supporting digital transformation and continuous quality improvement initiatives

Maintaining robust governance systems and patient engagement through PPGs and feedback channels

Coordinating training, appraisals, and HR processes in collaboration with internal teams

Job responsibilities

Purpose of the Role

As Practice Manager, you will play a pivotal role in ensuring the effective day-to-day management of the practice. You will be responsible for driving operational efficiency, ensuring compliance with NHS regulations, and working closely with clinical and non-clinical staff. You will also be the key liaison within our DHU practices, supporting collaborative initiatives and managing frameworks such as QOF and IIF to maximise funding and maintain excellent standards of care. The post-holder will be able to lead on a day-to-day basis and propose resolutions for any problems if and when they arise.

The post holder will participate in promoting and advancing DHU Healthcare CIC.

Key Areas of Responsibility & Accountability

Practice Operations

Oversee the smooth, efficient, and safe running of the practice, ensuring effective written procedures are in place.

Implement and monitor clinical and administrative rotas, identifying potential problems including efficient use of time.

Collaborate with other DHU primary care and corporate teams to implement and maintain systems that enhance service delivery and patient experience.

Manage premises, including IT systems, liaising with estates and procurement teams to manage suppliers and contracts.

Ensure robust business continuity and disaster recovery plans.

Monitor equipment, report operating problems, and manage maintenance schedules.

Line-manage all administrative and support staff, fostering a culture of accountability and teamwork.

Work alongside DHU Talent and Acquisition colleagues and senior primary care leaders to recruit, onboard, train, and manage staff wellbeing.

Support induction of new colleagues, including GP locums.

Monitor mandatory training and ensure high compliance through training plans, reminders, and escalation where rates are below target.

Work with clinical leads to ensure effective absence management.

Ensure up-to-date HR policies and legal compliance.

Finance & Budgeting

Monitor budgets in collaboration with the finance team and senior managers.

Monitor and submit NHS claims, including QOF, Enhanced Services, and other funding streams.

Compliance & Governance

Maintain regulatory compliance with CQC standards, GDPR, health & safety, and safeguarding requirements.

Lead on risk assessments, policies, and incident reporting.

Ensure medical records management and coding integrity, including registration processes, summarizing, and DSARs.

Manage local PPG meetings.

Manage patient feedback (complaints, concerns, compliments) effectively to inform service improvements.

Strategic Development

Support the delivery of DHU’s long-term plan and primary care business strategy.

Provide performance metrics for review at senior leadership meetings.

Champion digital transformation and service innovation.

Act as a contact for the Primary Care Network, attending PCN meetings as required.

Coordinate delivery of PCN initiatives (e.g., ARRS roles, shared clinics, care navigation).

Ensure accurate reporting and timely submission of PCN data and performance returns.

QOF & Claims Management

Work with the Head of Primary Care to complete QOF targets and submissions accurately and on time.

Maintain coding accuracy and exception reporting with clinicians and admin staff.

Develop strategies to optimize QOF achievement and income.

Monitor and optimize Enhanced Services and other commissioned activities.
