Job description

Tate+Co is hiring a practice manager to join its team in London.

Tate+Co are looking for a highly organised and proactive practice manager to join our growing team. You’ll play a key role in the smooth day-to-day running of the studio, supporting financial processes, HR, and general administration.

This role is ideally part-time (three days per week), but we are open to full-time applicants depending on experience and interest. You’ll work alongside the Business Director while supporting the wider leadership team.

Tate+Co are architects, masterplanners and interior designers. Our projects range in scale from large regenerative masterplans to individual houses, and we have a broad spectrum of clients, including schools, universities, developers, hotels and local authorities. All our work fosters a connection to landscape, heritage and community.

We were founded in 2007 as sustainability specialists, based on our core belief that better spaces create better outcomes for people and planet. We want to create projects which demonstrate how a genuinely regenerative approach can create a better and more resilient outcome for all communities. And above all, we want to create places that people will love.

  • reconciliation of expense receipts on Xero
  • processing payments and income onto Xero
  • liaising with the directors and accountants to complete quarterly VAT returns
  • assisting the directors and accountants with the preparation of the year end accounts
  • paying staff expenses
  • assisting with the preparation of staff salaries
  • invoicing clients
  • monitoring cashflow

Human resources administration:

  • maintaining staff records, contracts, and HR policies in line with employment legislation and best practice
  • assisting with HR processes including recruitment, onboarding, appraisals, and training coordination
  • ensuring compliance with health and safety requirements
  • reviewing sickness records, and monitoring timesheet completion
  • creating and reviewing staff risk assessments where required
  • reviewing and booking staff training throughout the year and ensuring RIBA and ARB compliance

General administration:

  • monitoring office supplies, stationery and equipment
  • liaising with external suppliers, IT support and clients as required
  • assisting the directors and communications manager with booking of travel and accommodation
  • answering the phone
  • greeting clients and other visitors
  • managing the practice’s insurances, accreditations, subscriptions, and memberships
  • assisting with office social events, CPDs, and other practice activities

Required skills:

  • two years’ experience in a similar role, preferably in a creative industry
  • strong organisational skills and attention to detail
  • ability to manage multiple deadlines and prioritise tasks
  • confident IT skills (MS office, Excel and Xero)
  • flexible, friendly and proactive approach
  • eligible to work in the UK
  • fluent in written and spoken English

Salary: dependent on experience but will be competitive.
