Job description

We are looking for an accomplished manager with excellent interpersonal and leadership skills to manage the operational functions within the practice and work with the partners on the business aspects, identifying potential opportunities and efficiencies.

The successful candidate will have a positive and approachable manner. They will be proactive with proven people and operational management experience, along with excellent organisation and IT skills.

Although full-time is preferred, part-time (minimum of 30 hours over 4-5 days) will be considered.

Main duties of the job

The Practice Manager oversees the day to day operations of the practice.

They provide advice, support and guidance to the partnership and team and are responsible for HR, IT, project and premises management and ensuring overseeing CQC and regulatory compliance.

With an emphasis on providing high quality care to our patient population of just over 9,000, we have 2 GP partners and committed clinical and non-clinical teams. Our bookkeeping and payroll are outsourced.

Our last CQC rating was 'Good'.

Job responsibilities
  1. Oversee the management of the day-to-day operations of the practice, ensuring that staff achieve their primary responsibilities.
  2. Manage the HR processes, including recruitment, relevant checks, contractual issues, appraisals and staff performance.
  3. Workforce planning to ensure a good skill mix with staff having the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively.
  4. Ensure employment law and legislation is adhered to.
  5. Liaise with the Primary Care Network (PCN) and locality commissioners, attend meetings and promote collaborative working.
  6. Provide support and advice to the partnership and keep them updated on practice matters.
  7. Keep up to date with developments and changes within primary care.
  8. Liaise with the bookkeeping and payroll (outsourced) companies, ensuring accurate reporting and submissions.
  9. Assist in the financial aspects of the practice, working closely with the partners and bookkeeper.
  10. Ensure the practice explores all opportunities to maximise income and reduce expenditure in collaboration with the partners.
  11. Ensure Quality and Outcomes Framework (QOF) and commissioned service targets are met.
  12. Manage the significant event and complaints processes, in line with current legislation and guidance.
  13. Manage contracts and maintenance for services and equipment.
  14. Oversee the review and update of all practice policies and procedures.
  15. Lead and coordinate projects within the practice.
  16. Oversee the management of the practice IT system, including compliance with the Data Security Protection Toolkit (DSPT).
  17. Coordinate the practice development plan and business continuity plan.
  18. Assist in the preparation of business cases for new services, as required.
  19. Ensure ongoing CQC compliance.
  20. Ensure the practice maintains compliance with its NHSE contractual obligations.
  21. Provide advice and support to the staff and the partnership to ensure effective team working.
  22. Manage effective communication, both internal and external and ensure the website and other communication platforms are accurate and up to date.
  23. Facilitate partners and practice meetings and maintain an up-to-date action plan.
  24. Support the management of the Patient Participation Group.
  25. Manage estates and facilities, including health and safety aspects and risk assessments.
