A healthcare provider in Exeter is looking for an experienced administrator/receptionist. Job description

Westbank Practice are looking for anadministrator/receptionist to join our friendly team.Potential candidates must be flexible, haveexcellent customer service skills and be confident in dealing with patientsface to face and on the telephone. You will be dealing with tasks such as:prescriptions, making appointments, dealing with patient queries, registeringpatients, monitoring requests via email and other admin tasks.

The job is varied and very busy, you will be working acrosstwo sites Starcross and Exminster between the hours of 8am- 6pm Monday to Friday (approximately 25-30 hours per week)

Main duties of the job

Tobe responsible for undertaking a wide range of reception and administrative dutiesand the provision of general support to the multidisciplinary team.Duties can include but are not limited to, greetingand directing patients, effective use of the appointment system, bookingappointments, processing of information and assisting patients asrequired.To act as the central point ofcontact for patients, the distribution of information, messages and enquiriesfor the clinical team, liaising with multidisciplinary team members andexternal agencies such as secondary care and community service providers.

Job responsibilities

The followingare the core responsibilities of the receptionist/administrator. There may beon occasion, a requirement to carry out other tasks; this will be dependentupon factors such as workload and staffing levels:

  • Maintainingand monitoring the practice appointment system
  • Processpersonal, telephone and e-requests for appointments
  • Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately
  • Signpostpatients to the correct service
  • Initiatingcontact with and responding to, requests from patients, team members andexternal agencies
  • Readcode data on SystmOne
  • Photocopydocumentation as required
  • Dataentry of new and temporary registrations and relevant patient information asrequired
  • Inputdata into the patients healthcare records as necessary
  • Directrequests for information i.e. SAR, insurance / solicitors letters and DVLAforms to the administrative team
  • Manageall queries as necessary in an efficient manner
  • Carryout system searches as requested
  • Maintaina clean, tidy, effective working area at all times
  • Monitorand maintain the reception area and notice boards
  • Supportall clinical staff with general tasks as requested
