THE ROLE

Sotheby’s, established in 1744, is the world’s largest and most trusted marketplace for art and luxury. We host over 600 auctions annually and offer a range of items for immediate purchase through digital and physical channels, as well as private sales.

The Post-Sale Coordinator supports clients through the post-sale process, ensuring compliance with company policies and delivering high-quality service. This is a temporary Zero Hour role.

The responsibilities include but are not limited to:

Post-Sale support:

  • Work within the Post-Sale Shipping team to meet all actions and SLAs promptly and professionally.
  • Support the team with sale-related tasks based on client needs and priorities.
  • Issue timely and accurate client communications.
  • Escalate risks or issues affecting client experience and suggest remedial actions.
  • Ensure financial transactions comply with governance (e.g., waiving charges).
  • Respond to client inquiries via correspondence, phone, etc.
  • Partner with other departments to resolve client issues and ensure satisfaction.
  • Coordinate with specialists on shipping and collection of unsold property.
  • Participate in projects as directed by the Head of Shipping.

Invoicing, Payment, and Collections:

  • Process and reconcile incoming payments and manage third-party payments.
  • Manage accounts receivable and escalate unresolved payments.
  • Authorize property releases and liaise on customs and VAT documentation.

Shipping coordination:

  • Arrange domestic and international outbound shipments.
  • Request and process shipping quotes, select vendors, and optimize shipments.
  • Verify shipment requirements and coordinate packing, transport, and security.
  • Monitor shipments and troubleshoot issues proactively.
  • Handle export license applications and maintain shipment documentation.

Experience & Competencies:

  • Degree in a relevant field preferred.
  • 3+ years of related experience desirable.
  • Excellent client service, communication, and attention to detail.
  • Knowledge of logistics, including domestic and international shipping regulations.
  • Proficient in Microsoft Office; experience with SAP & Freshdesk is a plus.
  • Flexible to work evenings and possibly weekends.
  • Fluent in a second European language (e.g., French, German, Italian) preferred.
  • Experience with fine art shipping advantageous.
