Where You Fit In

  • Ensure the required level of governance and control is applied to the strategic programmes
  • Provide advice and guidance to the Programme and Project Managers on the completion of the Change Framework templates and documents as required.
  • Reporting - engage with the project and programme teams to gain the understanding of and to collect and collate the required information to produce the weekly/monthly/quarterly dashboards, metrics and reports. Identify required areas to monitor, engage with the appropriate project and programme managers and teams, understand and analyse the information provided and prepare the clear, concise, timely and accurate reports/presentations required for effective monitoring and decision making by the relevant boards.
  • Be conversant with the financial discipline required to manage programmes and able to assist in budget tracking at a portfolio level.
  • Assist Project and Programme Managers in the procurement cycle where necessary and ensure all financial activity associated with projects/programmes are in order
  • Actively engage with the programme/project teams to collect, collate and analyse the information required by the Portfolio Manager/Programme Manager.
  • Ongoing management and monitoring of the Risks, Assumptions, Issues, Dependencies (RAID) and lessons learned across the enterprise change programmes via regular engagement and challenge with the projects/programmes teams and advising/escalating on key areas requiring management attention.
  • Monitor and prepare reporting on overall benefits realisation and cost tracking to the relevant boards.
  • Prepare draft versions of key project documentation for review by the Programme Manager and Portfolio Manager, for example, board papers, end of stage reports, project closure reports.
  • Act as a central point of contact for programme and project related information for progress reporting to internal and external stakeholders.
  • The co-ordination of strategic programme plans into a cohesive plan on a page with clearly identified critical path, key milestones, outcomes and benefits
  • Work as part of the Strategic Programme Office to deliver high level of customer services to the stakeholders by providing support, challenge and skills development.
  • Be proactive in the ongoing development and improvement of the Strategic Programme Office and the supporting Enterprise Change Framework

What Skills & Qualifications You Will Need

  • Project Management knowledge and proven experience of working in a project or programme environment.
  • Must have the ability to collect and collate the PMO data and advise Project and Programme Managers of areas that need their attention such as interdependencies.
  • Project/ Programme Management Certification (for example PMP, PRINCE2, CAPM, MSP)
  • Proven PMO/Programme Analyst experience thorough understanding of the principles and frameworks of successful project management from a support perspective.
  • Proven experience in providing service to internal stakeholders to achieve successful programme outcomes
  • Demonstrated experience in preparing presentations for senior management
  • Experienced in managing a time reporting system, managing time entries for project teams, establishing correct project/task codes, ensuring appropriate project set-up for reporting.
  • Strong familiarity with project health reporting, metrics and KPIs.
  • Strong capability with problem solving, decision making, sound judgment and assertiveness.
  • Facilitation skills - ability to interact and engage effectively with the project/programme team and stakeholders to be able to capture timely and accurate data and information.
  • PMO process analysis and improvement -must have the ability to identify ways of improving the Enterprise Change Framework and making it more efficient and effective as well as ensuring compliance to the Framework processes.
  • Strong analytical skills and high attention to detail including ability to review, analyse and manipulate data to produce quality management reports in simple and comprehensible form for non-technical audience.
  • Excellent IT skills. Advanced MS office user - Word, MS Project, Excel, Outlook and PowerPoint user
  • Excellent oral and written communication skills as well as excellent presentation skills with ability to conduct presentations comfortably to staff at all levels.
  • Strong relationship building and interpersonal skills
  • Ability to manage shifting priorities, demands and timelines effectively prioritising and executing tasks in a high-pressure environment
  • Self-motivated and motivates others keeping morale and performance high
  • Proactive, 'can-do' attitude require
