Job summary

A client based in Stormont is seeking a Personal Secretary to enhance their administrative team. The role requires managing diaries, travel arrangements, and records management while supporting the Chief Medical Officer's office. Applicants should hold 5 GCSEs and 2 A-levels, with proficiency in Microsoft Word and Excel. The position is full-time, 37 hours per week, and lasts until December 2025.

Our client based in Stormont is looking for a Personal Secretary to join their team.

Job Description:

The duties of the role include:

  1. Diary management – arranging meetings, accepting invites, collating papers, etc.
  2. Mailbox management – categorising emails, creating a daily log of emails to be actioned.
  3. Records management – ensuring emails are appropriately saved on the Department’s record management system.
  4. Travel arrangements – booking flights and accommodation as required.
  5. Corporate governance – liaising with OCMO regarding corporate returns such as finance.

Please note this is not an exhaustive list but provides a good indication of the main duties. Additional responsibilities supporting the administrative team within the Office of the Chief Medical Officer may arise according to business needs.

Minimum Qualifications:
  • 5 GCSEs including Maths and English (certificate proof required).
  • 2 A-levels.
  • Excellent IT skills, including proficiency in Microsoft Word and Excel.
Desirable Skills:
  • Computer skills including Word, Excel, emails, and familiarity with working with figures.
  • Good verbal and written communication skills.
  • Good interpersonal and team skills.
  • Previous experience working with AccountNI is advantageous.
