We are seeking an exceptional Personal Assistant to support the Managing Director of a busy and highly regarded law firm. This is a unique and varied role that combines both professional and personal support, requiring a proactive, organised, and discreet individual who thrives in a fast-paced environment.

Role Description

This is a full-time, office-based role for a Personal Assistant to the Managing Director situated at the Principal Office at Birmingham Business Park. The Personal Assistant shall be responsible for managing the daily administrative and personal tasks for the Managing Director, including diary management, travel arrangements, communication, and executive administrative assistance.

The role involves maintaining schedules, arranging meetings and appointments, handling correspondence and emails, and providing general support to ensure the smooth operation of the Managing Director's office. This role shall invariably include and require the individual to conduct and undertake personal errands and tasks.

As Personal Assistant to the Managing Director, you shall be entrusted with ensuring their professional and personal commitments run seamlessly. Your duties shall be diverse, ranging from diary and inbox management, meeting preparation, and document handling to personal errands, travel arrangements, and event coordination. You will be the Managing Director’s right-hand person — anticipating needs, solving problems, and going the extra mile to make things happen.

Key Responsibilities

Responsibilities shall include but not be limited to: -

  • Manage a busy and ever-changing schedule, including appointments, meetings, and travel
  • Attending client conferences, meetings, preparing minutes and notes
  • Answering telephone calls and dealing with / screening enquiries
  • Handle confidential correspondence and documentation with complete discretion
  • Organise events, both corporate and personal
  • Arranging accommodation and travel, including personal holidays
  • Undertake personal tasks and errands as required
  • Provide ad hoc support across the firm when needed
  • Be available for occasional evening and weekend work, with prior notice

Requirements

The nature of criminal defence requires considerable mental dexterity. It regularly involves working unsociable hours: evening and weekends to balance competing demands. Consequently, due to the nature of the business it shall be necessary for the individual to be available and contactable during the evenings and weekends and work flexibly.

This is an intense and high-level supporting role to an extremely busy Managing Director. Therefore, the successful candidate must have demonstrable experience in a similar role with at least five-years previous experience.
