Job Summary

To provide an enthusiastic, efficient, timely and proactive PA support to 2 HR VPs and relevant HR AVPs of Human Resources:


Key Responsibilities

  1. Provide a general administrative service to two VPs including diary management, meeting coordination, off-site meetings, filing, expenses, printing and travel.
  2. Organise and manage all external meetings (including travel) and anticipate needs for the meetings, seeking and coordinating information where appropriate.
  3. Organise and coordinate weekly, bi-weekly, monthly meetings with direct reports.
  4. Act as the first filter for Management teams emails / queries and requests for information. Highlight urgent or time sensitive HR emails.
  5. Provide support with large business unit related events such as Leadership Meetings, HR functional events and Team Days.
  6. Assist new starter induction programmes for the Business Area and when necessary, global visitor itineraries.
  7. Coordinate HR recording keeping and work with the HR VPs and HR Services team to maintain records.
  8. Ensure VPs are kept informed of any changes in their daily itinerary.
  9. Schedule key dates including whereabouts, key meetings, associate annual and mid-year Performance Reviews, Personal Development Plan meetings, regular 1-1 meetings, and birthdays.
  10. Build good relationships and liaising with other assistants within TJX Europe, sharing best practice.
  11. Raise purchase orders for HR VPs when requested.
  12. Support, as needed with HR administration, which could include HR note taking, supporting event coordination or creating decks and presentations.
Key Skills, Knowledge and Experience

  1. Experience of working as a Secretary/PA in a fast-paced environment.
  2. Highly confidential, tactful and discreet. Some areas of access will be highly sensitive and confidential.
  3. Highly organised, able to prioritise and work with multiple projects at once.
  4. Comfortable working as part of a team or on your own initiative.
  5. Proven PowerPoint, Word and Excel skills and experience.
  6. Strong interpersonal skills - relationship building, team workings, influencing skills.
  7. Capable of prioritising workload to deadlines without losing an eye for detail.
  8. Able to adapt as things may change, based on business need or HR priority and urgency.
