Position Overview
The Personal Assistant role provides personal support to a cohort of senior leaders across the firm. This role is part of our Family Support benefits team, aimed at reducing the 'friction' in our senior leaders' lives by offering personal support that complements the professional support provided by leaders' admins/EAs. The person in this role will work in partnership with a team of Personal Assistants and Administrative Assistants to provide comprehensive support to our senior executives.
Primary Responsibilities
- Support several senior executives with their respective personal requests.
- Collaborate closely with executives’ Admins to provide end-to-end support (e.g., professional to personal).
- Work effectively with the team to complete critical deliverables, keeping them informed of upcoming commitments and responsibilities, and following up appropriately.
- Provide high-touch support and multitask when covering multiple senior executives.
- Manage personal calendars and support personal administrative tasks for executives and their immediate family members.
- Schedule and confirm personal appointments and coordinate with service providers (e.g., doctors, electricians, plumbers).
- Process benefit claim reimbursements and follow up to ensure completion, providing real-time updates as needed.
- Interact with childcare providers (e.g., nannies) to deliver instructions or coordinate activities.
- Support day-to-day activities such as online shopping, coordinating deliveries, researching and arranging service providers, and making restaurant and travel reservations.
- Complete applications for immediate family activities (e.g., camps, schools).
- Proactively manage needs related to upcoming personal milestones/events (e.g., holidays, birthdays, anniversaries).
- Prioritize conflicting needs; handle matters efficiently, proactively, and follow through on projects, often under deadline pressures.
- Arrange complex personal travel plans (both commercial and private) and prepare detailed itineraries.
- Assist with ad hoc projects as requested.
- Contribute to building and shaping future programs, and identify opportunities to scale offerings.
Qualifications & Experience
- Bachelor’s Degree and at least five years of experience as a personal assistant.
- Strong initiative and ownership of responsibilities, with a proactive and positive approach.
- Superior client-service orientation.
- Exceptional attention to detail.
- Team player attitude, adaptable to the needs of the team and firm.
- Excellent interpersonal skills to handle sensitive and confidential situations with poise, tact, and diplomacy.
- Maintain the highest level of confidentiality, discretion, integrity, and trustworthiness.
- Outstanding written and verbal communication skills.
- Highly organized and detail-oriented, committed to accuracy.
- Collaborative and team-oriented attitude.
- Extensive knowledge of Microsoft Outlook, and proficiency in Excel, Word, and PowerPoint.
- Experience in the finance industry is preferred.
