Personal Assistant and Team Coordinator

The Role

As a Personal Assistant & Team Coordinator, you will play a crucial part in ensuring our partners and their teams operate smoothly and efficiently. Supporting multiple Partners, you’ll take ownership of administrative functions, client coordination, and internal team communication.

Key Responsibilities:

  • Provide comprehensive administrative support to three Partners
  • Organise and coordinate meetings (virtual and in-person), including agendas, minutes, and follow-up actions
  • Arrange travel bookings including transport, accommodation, and restaurants
  • Support Partners with timesheets, mileage logs, expenses, and invoicing
  • Be the first point of contact for client communications—calls, emails, onboarding, and updates
  • Manage and maintain internal records and client databases
  • Facilitate workflow and communications between Partners and their teams
  • Help maintain a well-organised, efficient, and professional office environment

  • Experience as a PA, Executive Assistant, or Team Coordinator (ideally in a professional services environment)
  • Strong Microsoft Office skills—especially Outlook, Word, and Excel
  • Excellent organisational and multitasking abilities
  • Clear, confident written and verbal communication
  • Professional, positive, and proactive attitude
  • High attention to detail and discretion when handling sensitive information
  • Ability to remain calm and efficient under pressure
  • Previous experience in an accountancy or financial services firm (desirable)
  • Knowledge of CRM or project management software (desirable)
