Job description

Join us as a Personal Assistant (PA), where you will be providing extensive PA support for a number of Managing Directors/Directors within Barclays Private Banking and Wealth Management. You will be working with very key senior stakeholders who have demanding schedules. Prioritizing and influencing will be key to making this role a success. The role holder will be providing extensive and complex diary management for the key stakeholders and their respective teams (including completing all relevant travel and expenses where relevant, including cross-border approvals), ensuring a balance between workflow and meetings is achieved. This is a 12-month contract.

To be successful as a Personal Assistant you should have experience with:

  • Proven planning, organisational, and time management skills with high attention to detail and the ability to maintain confidentiality always are critical
  • Great relationship building skills to deal with a range of people and situations and the ability to work as part of a team
  • Clear communication in both verbal and written dialogue
  • Ability to work with key stakeholders, their teams, and attending to their obligations in terms of attending and delivering presentations at their respective senior leadership management forums, Monthly and Quarterly Business Reviews

Skills that will help you in the role:

  • Previous experience in a financial organization is preferred
  • Preparing meeting minutes, agendas, correspondence, and presentations in line with deadlines
  • Friendly and calm demeanor and the ability to multitask and handle very high levels of pressure and deadlines

Purpose of the role

To provide administrative and organisational support to executives, managers, or teams. To manage schedules, acting as a trusted point of contact, ensuring seamless coordination, efficient task management, and a professional presence for their assigned individuals or teams.

Accountabilities
  • Management of executive, manager, or team calendars and overseeing timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive or team.
  • Proactively anticipating the needs of the executive or team, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management, and organisation management tasks.
