Location: Reading (3 days a week in the office – 2 days remote)

Duration: Till the end of the year

Pay rate: £23 per hour PAYE

We are looking for a Team Assistant who will be responsible for providing administrative and organisational support to the 2 teams in General Medicines.

Key Responsibilities:

  1. Effectively and efficiently manage meetings
  2. Support and prepare all key strategic and operational meetings
  3. Diary management
  4. Organise all Team Offsites with appropriate & productive locations and impactful agendas
  5. Manage budgets
  6. Support the team with PO requests
  7. Assist with internal and external congresses
  8. Support onboarding and training for the team
  9. Ensure all meetings are prioritized and given appropriate time
  10. Proactively find solutions to time management issues
  11. Manage travel and accommodation in line with SOPs
  12. Handle travel arrangements, including flights and accommodation for domestic and international travel, with details provided in advance
  13. Ensure adherence to travel SOPs
  14. Provide proactive administrative support daily
  15. Assist in preparing presentations with technical support, input, and proofreading
  16. Support internal communications
  17. Create and maintain up-to-date filing systems and databases for easy information retrieval
  18. Assist with uploading materials for certification into the promomats system

Experience and Qualifications:

  • Experience in an administrative environment or qualification in business administration/office management
  • Proficiency in Word, Excel, PowerPoint, Outlook
  • Strong time management and organizational skills
  • Excellent interpersonal skills and relationship-building ability
  • Ability to work independently, proactively seeking and implementing solutions
