Personal Assistant

We are proud to be recruiting on behalf of our client, a forward-thinking and well-established organisation seeking a highly organised and proactive Personal Assistant to join their dynamic team on a fixed-term basis. This role offers the opportunity to be part of a collaborative and people-focused environment, supporting senior members with a varied and rewarding workload.

Key Responsibilities:

  • Manage complex diaries, schedule meetings, and coordinate logistics for multiple team members
  • Maintain internal reports, trackers, and data records
  • Process and manage expense claims and time reporting
  • Monitor and support billing activities including collation and review of chargeable hours
  • Arrange travel and prepare itineraries
  • Prepare and circulate agendas, meeting packs, and follow-up actions
  • Participate in internal meetings, take accurate minutes, and follow up on action items
  • Assist with maintaining intranet content and coordinating internal events
  • Assist with client onboarding and documentation setup
  • Act as point of contact for client communications relating to meeting arrangements and document submissions
  • Maintain and update CRM systems and digital files
  • Support with client-specific tasks as directed
  • Take ownership of specific team processes and contribute to ongoing projects
  • Collaborate with peers to ensure balanced workloads and absence cover
  • Contribute to team events and department-wide initiatives

Skills, Experience, and Training Requirements:

  • Highly organised and detail-oriented
  • Proactive and dependable, with a hands-on attitude
  • Confident liaising with individuals at all levels
  • Discreet, professional, and adaptable
  • Resilient and open to feedback
  • Able to prioritise tasks and meet deadlines in a fast-paced environment
  • Educated to degree level or equivalent experience
  • Proficient in Microsoft Office (especially Outlook, Word, Excel, and PowerPoint)
  • Strong written and verbal communication skills
  • Experienced in diary management and travel coordination
  • High level of numeracy and analytical thinking
