Job description

We have an opportunity for a Personal Assistant to join our Executive PA Support department on a 12-month fixed-term contract at Tokio Marine Kiln. You will provide secretarial and administrative support to the Group Head of Distribution and Departmental Heads of Underwriting, along with their teams.

The role includes responsibilities such as:

  • Organising travel plans, including flights, hotels, and itineraries.
  • Co-ordinating committee papers and meeting deadlines.
  • Maintaining accurate records of holiday, sickness, and absences.
  • Arranging meetings, preparing paperwork, and updating diaries.
  • Handling external and internal calls and enquiries.
  • Processing and recording expenses.
  • Providing cover for other EAs/PAs when needed.
  • Using initiative and taking appropriate action.
  • Managing schedules, organising meetings, venues, and catering.
  • Disseminating information as required.

The ideal candidate will have proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), experience managing multiple diaries, and a typing speed of over 65 wpm. Previous personal assistant experience at an executive level within the insurance or financial services sector is desirable. Excellent communication, minute-taking, organisational skills, and the ability to handle sensitive information with confidentiality are essential.
