We are looking for a highly organised and professional Personal Assistant to provide exceptional support to two of our Executive Team, the Director of Philanthropy and Commercial Director, as well as admin support to an Executive Assistant. As an experienced PA, you will naturally be a strong and professional communicator, be highly organised, have the ability to multi-task effectively and have the confidence to build strong relationships at all levels. Experience in event management would be a valuable asset in this role, but is not essential.

Responsibilities

  • Co-ordinate internal and external meetings and events, including logistics and attendee communications.
  • Monitor and manage email inboxes, drafting responses.
  • Arrange travel and accommodation for donor visits, conferences and development events.
  • Assist in formatting and creating presentations, pitch decks and campaign materials.
  • Review and proof-read documents, including letters, speech notes and campaign content.
  • Support the planning and delivery of donor events and fundraising campaigns.
  • Manage guest lists, RSVPs, seating plans and event logistics.
  • Prepare event materials such as brochures, signage and welcome packets.
  • Support onboarding processes for new team members reporting to the Executives.
  • Support to the EA will include such tasks as the organisation of meetings, taking minutes, booking training for staff, co-ordination of tours for external visitors and any other ad-hoc duties as required.

Skills & experience:

  • Previous experience working as a PA at Senior Management/Exec level.
  • Excellent communicator - strong command of the English language (written and spoken).
  • Highly organised and able to meet deadlines.
  • Ability to prioritise and multi task effectively.
  • Good IT skills, particularly MS office.
  • Able to collaborate with fellow PA's/EA's to support with meeting requests.
  • Calm under pressure.
  • Excellent attention to detail.
  • Tactful, diplomatic and discreet.
  • Ability to build strong relationships at all levels.
