Job description

We have the opportunity for a Personal Assistant to join our Executive PA Support department on a 12-month fixed-term contract at Tokio Marine Kiln. You will provide secretarial and administrative support to the Group Head of Distribution and Departmental Heads of Underwriting, along with their teams.

The role includes responsibilities such as:

  • Organising travel arrangements, including flights, hotels, and itineraries.
  • Co-ordinating the preparation of committee papers and meeting deadlines.
  • Maintaining accurate records of holidays, sickness, and absences.
  • Arranging meetings, preparing paperwork, and managing diaries.
  • Handling external and internal calls and enquiries.
  • Processing expenses and recordings.
  • Providing cover for other Executive Assistants/Personal Assistants when needed.
  • Using initiative to proactively address tasks and find solutions.
  • Managing schedules and organising meetings with venues and catering as required.
  • Disseminating information as needed.

The ideal candidate will have a strong knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint, and experience managing multiple diaries. A typing speed of over 65wpm is preferred. Previous experience as a Personal Assistant at an executive level within the insurance or financial services sector is desirable. Excellent communication, minute-taking, organisational skills, and the ability to handle sensitive information with confidentiality are essential.
