Personal Assistant (0361) Leeds, England

Salary: GBP35000 - GBP36000 per annum + Benefits

My client, a well-established firm in Leeds, is looking to recruit a Personal Assistant to join their team.

Main Duties:
  1. Develop and maintain a system for tracking actions assigned to Partners across various areas, including client work, business development, team management, Partner-specific initiatives, and firm-wide projects.
  2. Work collaboratively with Partners to review progress on actions, ensuring deadlines are met and priorities align with business objectives.
  3. Follow up on outstanding actions, provide reminders, and offer support or solutions to remove barriers to completion.
  4. Monitor inboxes for tasks requiring Partner action, identify important emails, respond where appropriate, forward emails, and note actions and deadlines.
  5. Organise inboxes according to Partner preferences, including filtering important emails, deleting junk mail, flagging, and filing.
  6. Answer phone calls on behalf of the Partner, take messages, and divert calls as needed.
  7. Schedule meetings and appointments based on priority and availability, aligning with the Partner’s goals and current business priorities.
  8. Check for diary conflicts and make necessary accommodations, including travel and breaks.
  9. Prepare and distribute agendas and documents in advance, gathering input from meeting participants.
  10. Book accommodation and transportation for Partners and traveling companions.
  11. Organise and coordinate internal and external events, handling venue booking, catering, guest lists, and event materials.
  12. Liaise with internal teams and external vendors to ensure seamless event execution.
  13. Assist with specific tasks such as preparing materials and completing actions to support project requirements.
  14. Help with project logistics, including tracking actions, scheduling meetings, and monitoring deadlines.
