Job summary

London Gatwick Airport is seeking a Personal Assistant to support the Director Communications and External Affairs and the Chief Planning Officer. This office-first hybrid role requires proactive diary management, travel coordination, and confidential project support.

You’ll work across the business with senior teams, preparing agendas, minutes, and reports, while ensuring deadlines and budget control. Three in-office days per week, two remote, with a competitive benefits package.

Qualifications

  • Significant experience as a PA/Administrator Assistant working with senior executives.
  • Excellent writing and communication skills.
  • Advanced proficiency in Word, Excel, PowerPoint, Outlook and SAP.

Responsibilities

  • Diaries and meeting management with forward planning and rescheduling.
  • Arrange travel plans and itineraries for UK and overseas travel.
  • Process purchase orders, payments and credit card transactions within budget.
  • Manage expenses and deadlines for payment processing.
  • Support wellbeing Council meetings and stakeholder engagement with slides and coordination.
  • Induction and onboarding support for new starters and IT equipment provisioning.
  • Be an authorised signatory for department passes and renewals.
  • Maintain team admin/IT/filing systems and leave/training trackers.

Personal Assistant

Permanent role, part - time, 20 hours per week, covering Monday - Friday.

From £41,492 FTE, £550 flex allowance, up to 10% discretionary bonus + benefits. (Actual salary will be pro rata).

This role takes an office first hybrid approach here at London Gatwick, with three days a week in the office, two days remote, managed around the needs of the business.

What is the role?

This role reports to the Director Communications and External Affairs and additionally provides support for the Chief Planning Officer.

To provide first class administrative support, organising and co-ordinating important tasks and projects to agreed deadlines.

Working collaboratively with other PA's and administrators across the business to provide highly effective, efficient and proactive support, including working on projects that are confidential.

This role takes an office first hybrid approach here at London Gatwick, managed around the needs of the business. Min 3 days a week in the office, 2 remote.

What will you do?
  • Responsible for effective diary and meeting management including proactive forward planning and rescheduling to ensure time efficiency, room bookings and preparation of files, papers and minutes to ensure accurate recording of decisions, discussions and actions.
  • Manage travel plans and itineraries for all UK and overseas travel, working with London Gatwick's travel provider as necessary.
  • Responsible for raising and receipting purchase orders, manual payments and company credit card transactions to ensure prompt payment of all invoices ensuring they are within budget and relevant Purchase Logs are kept up to date. Also liaising with Execs/Head of Function as needed when financial sign offs are required.
  • Managing expenses, ensuring these are submitted for processing according to deadlines for payment.
  • To participate in projects as required including co-ordinating the Wellbeing Council meetings and action calendar, organising site visits and supporting in the preparation of slides for meetings and stakeholder engagement (working with other team members as required)
  • Support the induction and onboarding of new starters and the provision of IT equipment.
  • Be an authorised signatory for the department authorising temporary ID passes and pass renewals.
  • Day-to-day maintenance of team admin/IT/filing systems and key processes such as the annual leave and training trackers (ensuring alignment with company processes), sickness/absence reporting and ensuring relevant prompts when approaching expiry dates.
  • Supporting the communications team to manage the calendar and logistics for leadership events
  • Work with broader team to identify effective working practices and areas for improvement/possible solutions
Do you have what we're looking for?
  • Significant experience as a PA/Administrator Assistant with significant experience of working at C-suite level, Senior level Exec & Boards.
  • Excellent writing and communication skills
  • Advanced proficiency in common IT systems and tools e.g. Word, Excel, PowerPoint, Outlook, SAP, Teams, One Drive
  • Excellent interpersonal skills: can easily interact with a broad range of people in order to support their executives in a range of situations.
  • A proven proactive administrator with excellent organisation, planning and attention to detail
  • Experience of producing accurate and high quality Agendas, Minutes, Reports, meeting packs and managing diaries.
  • Excellent time management skills: the ability to organize and plan how to smartly divide time between specific activities
  • Demonstrate a flexible and adaptable approach to processes and ways of working with good problem solving skills
