Job description

We are seeking a proactive, highly organised, and detail-oriented Personal Assistant to provide dedicated support to our Head of Growth Execution within the Howden Specialty division and Global Head of Surety.

This role involves a broad range of PA responsibilities, including diary management, travel coordination, expenses, and meeting arrangements. You may also support the wider Growth Execution team, depending on capacity.

This position offers opportunities to get involved in projects, learn new skills (strategy, marketing, business planning, events management, etc.), and could serve as a springboard to a different career path if desired.

We’re looking for someone who thrives in a fast-paced environment, demonstrates exceptional communication skills, and approaches problems proactively and with strong organisational skills.

Please note that this is a full-time, permanent role based in our Central London office.

What you'll do
  1. Manage complex diaries for multiple stakeholders, ensuring efficient scheduling and prioritisation.
  2. Organise local and international travel, including visa arrangements and detailed itineraries.
  3. Coordinate meetings, including room bookings and refreshments.
  4. Liaise with internal support teams (Facilities, IT, Reception, AV) to ensure smooth operations.
  5. Prepare documentation such as reports, presentations, itineraries, and correspondence.
  6. Process expenses and invoices accurately and promptly.
  7. Organise team events and corporate hospitality, managing logistics effectively.
  8. Maintain accurate records using company systems.
  9. Handle document tasks like printing, scanning, filing, and archiving (electronic and paper).
  10. Collaborate with administrative staff to ensure coverage during absences or busy periods.
  11. Handle sensitive information with discretion and confidentiality.
What we're looking for
  • Proven experience as a PA or Team Assistant, preferably in a corporate or financial services environment.
  • Excellent attention to detail and ability to produce accurate, well-formatted documentation.
  • Strong organisational skills with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience in the insurance sector is a plus but not essential.
