We are currently seeking to hire a Personal Assistant to support our Executive Directors and senior leadership team in the Wales business. This role involves providing PA and administrative assistance to ensure the efficient operation of daily activities within the organisation.
Location:
Flexible, hybrid working, with regular work in our Cardiff office.
Contract:
Permanent and full-time.
Responsibilities
As a Personal Assistant, your day-to-day responsibilities will include, but are not limited to:
- Pro-active diary co-ordination for our Executive Directors, including arranging meetings, organising travel and accommodation, coordinating itineraries, and preparing expense claims.
- Monitoring emails of our Executive Directors.
- Coordinating starters and leavers in the team, including ordering equipment, updating distribution lists, and coordinating inductions.
- Organising key meetings such as workshops, corporate events, and team meetings—preparing agendas and meeting papers, attending meetings, taking minutes, and distributing actions.
- Managing invoicing processes, including raising Purchase Orders and ensuring procurement procedures are followed and tracked for budget management.
- Liaising with Business Development and Marketing departments.
- Maintaining awareness of current and past projects, contacts, and clients.
What are we looking for?
This role is ideal if you have:
- Previous experience as a Personal Assistant to multiple Directors, supporting leadership and fast-paced teams.
- Effective written and verbal communication skills.
- Proven ability to communicate and influence internal and external audiences.
- Proficiency in Office 365, especially PowerPoint, Outlook, and Excel.
- Ability to handle confidential information professionally.
