Overview

As a Personal Assistant, the successful post holder will provide administrative support to our VP Commercial and VP Analytics & Insights within the Direct to Consumer/Disney+ team, liaising with multiple contacts in EMEA and the US. The successful candidate will maintain a high and professional standard of communication between their office and all internal and external contacts and will require the management of highly confidential information. This role is an integral part of the Commercial and Analytics & Insights leadership teams. Join us in shaping the magic behind the scenes! Please note: This is an office-based role. 4 days working in the Hammersmith, London office with 1 day working from home (Monday or Friday).

What You Will Do
  • Provide first class administrative support to VP Commercial and VP Analytics & Insights for DTC EMEA.
  • Full diary management for both VPs, managing busy and complex diaries and coordinating meetings, lunches and dinners.
  • Preparing meeting agendas and joining team meetings to assist with running order, action points and follow-ups.
  • Inbox management for both VPs, triaging emails and flagging urgent priority responses.
  • Manage all travel requirements for both VPs including itineraries and bookings, European and International.
  • Process expenses for both VPs in a timely manner via Concur, ensuring required information is present and addressing credit card issues.
  • Management of multiple approval processes for both VPs (holiday requests, expenses, IT requests, etc.).
  • Assist with recruitment process by working with internal recruitment team to schedule interviews and prioritise preparation time.
  • Assist with collating weekly executive reports and preparing newsletters/internal communications for VPs.
  • Management of distribution lists for the Commercial and Analytics & Insights teams.
Team and Culture
  • Be an integral member of the Commercial and Analytics & Insights teams and management teams.
  • Confidant to both VPs, trusted to gauge team morale and spot problems early on.
  • Support on team meetings, events and away days as appropriate.
  • Lead on quarterly socials for both teams.
  • Provide support on team culture for both teams.
  • Provide adhoc support as required.
  • Raise Purchase Orders.
  • Any additional duties, as may be required by the VP Commercial or VP Analytics & Insights.
Qualifications
  • Accomplished Personal Assistant with experience within a fast-paced, large and multi-national organisation.
  • Excellent and advanced computer skills essential in following: Word, PowerPoint, Excel, Outlook.
  • A friendly, open, outgoing, professional and polite approach.
  • Organized and detail oriented with excellent accuracy.
  • Able to work in a deadline driven environment and meet tight deadlines.
  • Able to work autonomously, with minimal supervision, be pro-active and take initiative.
  • Highly discreet and aware of sensitive & confidential information and situations.
  • Excellent communication skills across all levels of the organisation with concise and informative writing.
  • Team player with the ability to form excellent working relationships with colleagues (internally & externally).
  • A calm and focused career PA.
  • Proven ability to create strong engaging relationships with senior stakeholders.
  • Excellent communication skills both verbal and written, including document formatting and proofreading.
