Job summary

CBRE in Birmingham is seeking an experienced PA/secretarial professional to support UK Consultancy. The role covers diary management, travel, meetings, client entertaining, and the preparation of letters and PowerPoint presentations.

The ideal candidate will have strong IT skills, ability to work proactively, and maintain high accuracy and discretion while supporting a busy team across the Midlands and South Building Consultancy.

Qualifications

  • Prior PA/Secretarial experience
  • Experience of working with internal/external clients
  • Ability to work proactively and co-operatively
  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
  • Pro‑active and enjoys working autonomously and as part of a wider team

Responsibilities

  • Diary management for UK Consultancy team, including travel, meetings, meals and entertainment logistics
  • Organise internal and external events including client entertaining and network events
  • Create letters and PowerPoint presentations from scratch to a high standard
  • Prepare outgoing correspondence and various documents
  • Dictation typing, amending, formatting and binding reports
  • Prepare agendas and collate papers ahead of meetings
  • Full filing/e-filing/archiving
  • Meet and greet clients, book meeting rooms and refreshments
  • Communicate with the team to track priorities and whereabouts
  • Handle travel and expenses
  • Support the business’ charity partner with administration

Job description

Role Purpose

To provide secretarial and administrative support to UK Consultancy teamon a daily basis to ensure that their needs and the clients’ needs are met atall times. This role will be supporting the Midlands and South Building Consultancyteam.

Key Responsibilities
  • An understanding of the teams’priorities including diary management. This involves organising travelarrangements, client and internal meetings, lunches and dinners.
  • Organisation of internaland external events including client entertaining and network events
  • Creation of Letters andPowerPoint presentations from scratch to a high standard
  • Preparation of outgoingcorrespondence and various other document.
  • Dictation typing,amending, formatting and binding reports
  • Creatingagendas/collating all papers ahead of meetings
  • Full management offiling/e-filing/archiving
  • Meet and greet clients,including booking meeting rooms, equipment and organising refreshments as necessary
  • Communicate with theteam, ensuring a high level of awareness of current priorities andwhereabouts
  • Travel and expensesmanagement
  • Administrative duties forthe business’ one team Charity Partner, Shelter in accordance with supportingthe Exec Director
  • Other ad hoc tasks as andwhen required
