Main duties of the job

To undertake a range of clerical & administration duties within the Perinatal Mental Health Service in a sensitive and polite manner whilst providing an efficient clerical service to patients, their families, referrers and other professionals in and outside of the team.

To answer telephone calls into the service from our external agencies, patients, carers, families, staff and all other professional staff in a helpful, professional and courteous manner and to ensure all calls are dealt with politely and efficiently and rerouted where appropriate.

The post holder will be expected to liaise effectively and professionally with all levels of staff, departments, external organisations and the public, dealing with confidential information in an appropriate manner.

The post holder will work under the supervision of the administration manager to ensure the effective running of the Perinatal Mental Health Service, prioritising their own workload to meet service expectation.

You will be the first point of contact for the patients/clients when required. Receive telephone calls and visitors, taking messages and undertaking initial investigations and action when required and promote effective communication across the team.

Detailed job description and main responsibilities

The “must haves” for this role:

1. You will be skilled in IT functions including Microsoft Excell, Google documents, Microsoft word 365, Power point presentation, publisher and others. Knowledge on the use of RIO which is our current patient system is desirable but not essential because we do have extensive training available.

2. Ability to plan, organise and prioritise your time and strong communication to ensure urgent needs of the service are attended to at all time

3.To have knowledge on general administrative task such as typing, record keeping and information management
