About the role

Reporting into the Head of Talent, we are looking for a highly detail orientated People Coordinator to support across all elements of the employee lifecycle.

As part of our wider People and Culture Team, you will have the opportunity to work in a fast-paced and dynamic team environment and contribute to the growth and success of our organisation.

Main responsibilities

Onboarding and Offboarding

  • Manage the end to end employee onboarding process:
  • Draft and send offer letters and contracts.
  • Manage the referencing process.
  • Upload all new starter documentation to our HRIS (HiBob).
  • Facilitate any visa and sponsorship processes, liaising with our external lawyers.
  • Conduct new starter inductions.
  • Liaise with the corporate operations team to ensure the timely set-up of IT equipment and desk space.
  • Coordinate Onboarding activities for new starters.
  • Monitor the recruitment and onboarding satisfaction surveys, give feedback on trends and issues. Work with the relevant HR colleague to act where needed.
  • Track probationary reviews, highlighting any issues to the People Partner.
  • Manage the end-to-end employee offboarding processes.
  • Support the Head of Talent in the management of the contractor population.

Recruitment

  • Coordinating and scheduling interviews across all departments and locations.
  • Support the head of talent with candidate and third party agency management.
  • When required conduct candidate screening calls.

Systems, Reporting and Data

  • Maintain the suite of people reporting and dashboards.
  • Provide general People Management Information on request to support the wider People and Culture agenda including talent acquisition, training, talent management, diversity & inclusion, and performance management.
  • Manage the Cero People systems (HiBob, TeamTailor, CultureAmp), ensure data is up-to-date, accurate and complete.
  • Automate processes on Bob to ensure efficiency and the best experience for our teams.
  • Manage Culture Amp, our people survey system, by uploading survey questions, downloading reports, and presenting the data.
  • Manage the Cero structure charts ensure data is up-to-date, accurate and complete.
  • Manage right to work reporting and keeping all work eligibility data up to date.

Payroll

  • Collate payroll information every month and submit changes to payroll provider.
  • Create monthly pension payment transfer files and upload to pension provider.

Additional HR Support

  • Support with minute taking for Employee Relation meetings.
  • Manage the People inbox – filtering queries as required.
  • Administer employee benefits.
  • Support the People Partner in the management of any employee relocations.
  • Support with Visa processing and renewals.
  • Along with the wider People team, assist with the planning of training events.
  • Assist with the planning and delivery of company-wide People initiatives.

What will you need to succeed in the role?

  • Experience within a people administration or coordination.
  • Experience of working with HR software systems (HiBoborTeamTailorwould beideal, but not essential).
  • Well-developed Excel skills.
  • Exceptional attention to detail and accuracy.
  • A passion for all things People & Talent.
  • Strong organisational skills and the ability to prioritise multiple tasks.
  • Good interpersonal skills and the ability to build relationships with internal and external stakeholders.
  • Able to handle confidential information with discretion and trust.
  • A key part of the role is being able to handle a fast moving, constantly changing environment. We are a ‘hands on’ team and being ready to help with whatever comes up is essential!
