Title:People Coordinator

Location: Bicester, Oxfordshire (Hybrid working)

Hours:37.5 hours per week (Monday - Friday)

We operate as a single Team, but to better identify the role, individual tasks have been allocated specifically to ensure accountability. Our driving ambition is that we are one Team, irrespective of discipline (Fire Risk Assessor, Consultant, Engineer, Operations, People, Projects, or Finance).

About the role:

As a People Coordinator at Ashton Fire, you’ll play a central role in delivering a smooth, consistent, and high-quality people experience across the business. This is a varied and hands-on role, responsible for the day-to-day coordination of core People activities.

You’ll be a key point of contact for the team, supporting both employees and managers while helping to improve how we attract, develop, and retain great people. From ensuring new starters feel supported, to keeping our HR system running smoothly and contributing to projects, your work will have a direct impact on the employee experience at every stage of the journey.

Responsibilities

  • Manage onboarding and induction plans
    for all new starters, ensuring every team member receives a warm welcome to Ashton Fire.
  • Ownership and delivery of the People Presentation for all new joiners, updating the slide deck with any new process updates or business changes.
  • Be the go-to expert for our internal HR system (Bamboo HR) - including maintaining
    accurate records, running regular audits, and keeping system templates up to date.
  • Help drive improvements to our HR system, optimising its functionality to enhance the employee experience.
  • Manage and administer our employee benefits offering, acting as a point of contact for queries.
  • Support with reviewing, updating, and writing People policies and documents to ensure they remain
    accurate, clear, and aligned with current legislation and best practice.
  • Ownership of all administrative tasks, such as issuing letters, collating feedback and tracking projects.
  • Coordinate learning and development activities – managing personal growth plans and CPD records, issuing training agreements, booking courses, and tracking progress.
  • Support the wider People team with projects and initiatives across all areas of the function.
  • Work with the wider People team to carry out regular audits in line with the employee lifecycle process.
  • Support the recruitment and onboarding of interns and graduates, including coordination of career fairs and recruitment days.
  • Support hiring managers with right-to-work checks as needed.
  • Manage the offboarding process from start to finish.
  • Contribute to internal communications, including our Wellbeing, Diversity and Inclusion newsletter, helping raise awareness of key topics across the business.
  • Support with LinkedIn posts, helping promote company culture, news, and updates.
  • Assist with the design and creation of internal and external content (e.g., posters, leaflets) as needed.
  • Support the wider People team to deliver excellence across all areas of the employee experience, contributing ideas and helping identify opportunities for improvement.

Requirements

  • Previous proven experience working as a People/HR Administrator.
  • Highly organised with strong attention to detail.
  • Experience working with data to drive decisions and make improvements.
  • Strong, positive communication skills.
  • Good problem-solving abilities.
  • Proficiency in Microsoft Office, particularly Word, Excel, SharePoint, and Forms.
  • Experience using Canva to design internal or external assets is desirable.
