As we continue to grow, we are looking for a dynamic Staffing and People Assistant to join our team and help manage our event personnel and staffing operations.

THE ROLE

As a Staffing and People Assistant, you will play a crucial role in ensuring our events are fully staffed with engaged, skilled, and professional personnel. Working closely with staffing agencies and internal teams, you will help manage our workforce, coordinate payroll, and maintain compliance, all while ensuring our events run seamlessly.

Key Responsibilities

Staffing & Event Support:

  • Ensure event personnel have clear and concise information regarding booking, confirmation, cancellations, and event details.
  • Attend key events to manage on-site staffing, ensuring smooth operations.
  • Build strong relationships with staffing agencies to incentivise staff and establish a reliable core team.
  • Approve and sign off agency invoices while reconciling labour costs to event budgets.
  • Assist in forecasting and planning staffing levels for busy periods.
  • Maintain and manage staff uniforms, ensuring they are laundered and in good repair.
  • Coordinate staff food orders for events.

HR & Payroll Administration

  • Maintain and update staff records, ensuring compliance with tax, banking, and right-to-work documentation.
  • Prepare and upload cost centre reports onto HR management software.
  • Support payroll processes, ensuring accurate allocation of labour spend to events.
  • Compile and submit weekly expense reports to the finance team.

Compliance & Training

  • Monitor training records for full-time and casual staff via our training software.
  • Ensure compliance with health & safety and food safety policies.

What We're Looking For

  • Experience in staffing, human resources, or workforce coordination within events or hospitality.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent communication skills and a proactive approach to problem-solving.
  • Knowledge of HR software and payroll processes (desirable but not essential).
  • A team player who thrives in a fast-paced environment and enjoys working with people.
