We are looking for a highly organized and detail-oriented Payroll Supervisor to oversee our outsourced payroll operations. The successful candidate will manage payroll for approximately 850 UK employees, 15 US employees, and an extensive freelance workforce in both the UK and US. This role involves supervising a Payroll and Freelance Assistant, ensuring the accuracy and compliance of all payroll processes.
Key Responsibilities
- Payroll and Freelance: Process the UK monthly payroll for approximately 850 staff, ensuring accuracy and compliance with all relevant regulations. Oversee the submission of payroll data to our external payroll provider, SD Worx. Manage the US payroll for approximately 15 expatriate and local staff. Oversee processing of US freelance/contractor invoices, ensuring compliance with local regulations and company policies. Manage the UK freelance process, including PO management, tax status determinations, and payments.
- Leadership and Collaboration: Act as the primary liaison between HR, Finance, and external payroll providers to ensure seamless and efficient payroll operations. Serve as the first point of contact for payroll-related inquiries. Manage responsibilities for Payroll and Freelance Assistant. Provide leadership and support to the payroll team.
- Process Optimization and Compliance: Continuously analyse and improve payroll processes to enhance efficiency and accuracy. Ensure compliance with IR35 regulations and manage the assessment and processing of contractors under IR35. Oversee the preparation and submission of employment tax returns, including P11D and P60 forms. Ensure all internal control procedures are adhered to and identify opportunities for process improvements.
- Financial Reporting and Analysis: Accurately account for payroll journals. Full responsibility for reconciling balance sheet accounts. Analyse staff and freelancer benefits and ensure they are correctly taxed and accounted for. Prepare, manage data, and pay all disbursements to benefits providers.
- Project Management and Continuous Improvement: Participate in and lead ad-hoc projects aimed at improving payroll processes and systems.

Key Requirements
- CIPP qualified required (part qualification considered), or equivalent
- Extensive experience in payroll supervisor role
- Proficient understanding of double entry bookkeeping
- Demonstrable management experience
- In-depth knowledge of PAYE, NIC, Auto Enrolment pension regulations
- Strong understanding of company and statutory payments, such as maternity pay, shared parental pay, and SSP
- Working knowledge of IR35 and the implications of non-adherence
- Attention to detail and strong Excel skills are essential
- Highly motivated, adaptable, proactive, and professional attitude
- Accountable for own actions as an individual and as part of a team
