Job description

Job Overview
- This role will support retained in-house Compliance activities and support the business by ensuring that all Payroll Compliance services provided by the offshore team are fit for purpose and meet business requirements. As a Shared Services expert, this role will act as a conduit between the business and offshore team, review service levels, and work to ensure services are at the right level. Supporting escalations and designing new processes, this role will shape the service delivery to the business. It will also drive manager education and engagement with processes across the function and partner with the business to deliver initiatives and projects.

Main Duties

- Be a subject matter expert (SME) on all offshored and retained Compliance services.
- Deliver retained Compliance and Pensions Administration service activities, including but not limited to:
- Oversight of overpayment recovery process, instructing solicitors for further action, and providing breakdowns of overpayment calculations.
- Handling escalations from the Offshore team in complex cases.
- All Pensions-related administration.
- Overseeing Benefits administration.
- Overseeing P11D processing.
- Reconciling and resolving historic PAYE schemes.
- Overseeing HMRC reconciliations.
- Checking correct allocation of HMRC payments.
- Overseeing third-party reconciliation and payment raising.
- Investigating payroll data compliance failures and liaising with offshore team to resolve.
- Conducting SAO related compliance checks.
- Managing offshore payrolls, including payment arrangements.
- Supporting the business with ad-hoc requests and engaging with the offshore provider for delivery.
- Overseeing and managing audits from third parties, instructing offshore provider to collate documentation, and reviewing/signing off prior to release.
- Handling distribution of physical documentation, post, etc.
- Approving banking requests.

- Act as the point of contact for the offshore partner for escalations or queries.
- Support projects as required, partnering with the business to support and drive service enhancements.
- Support Compliance projects using the offshore team for delivery.
- Audit the offshore team’s work and track performance.
- Prepare data/reports for Payroll Operations Managers for performance reviews with the offshore partner.
- Support Line Manager education and engagement with MSS processes and ways of working.
- Contribute to Root Cause Analyses (RCA's) and ensure completion of all actions.
- Advocate high service levels and support offshore teams through training on new services/process changes.
- Act as escalation point for Compliance processes for offshore teams.
- Audit Compliance-related data entry and ensure proper training.
- Provide training to managers and offshore teams on processes and documentation.
- Support production of monthly data quality and risk reports.
- Monitor payroll compliance and data integrity concerning statutory compliance and risk management.

What we are looking for

- Strong background in payroll processing (essential).
- Strong knowledge of Payroll Compliance disciplines and SME experience (preferred).
- Experience working in a Shared Service Centre (preferred).
- Holding or working towards a CIPP Payroll Technician Certificate, a CIPP Pensions Administration Certificate, or equivalent (preferred).
- Stakeholder management skills.
- Experience organizing team activities or line management (preferred).
- Strong process review and re-engineering skills using LEAN methodology (preferred).
- Self-starter with a drive for process improvements.
- Ability to challenge the status quo.
- Excellent customer service skills.
- Well-organized, capable of working to tight deadlines and conflicting priorities.
- Experience working with outsourced service providers (preferred).
