Job Title: Payroll Assistant

We are looking for a Payroll Assistant in our London office to assist with payroll for our private network of Product Testers (external employees paid by the hour) and office staff (internal). We're seeking an enthusiastic and experienced Payroll Assistant. In this role, you will be responsible for completing day-to-day payroll and administrative duties, reporting to the Payroll Coordinator. You will help with payroll processing and all the back-end work that accompanies each pay cycle. This involves calculating and entering hourly and salaried payroll for weekly and semi-monthly payroll runs. A College diploma in Accounting or Payroll is required, along with a minimum of 2 years' experience in an accounting or payroll environment.

Job Description:

  1. Prepare and process weekly payroll for 276+ Product Testers (external employees paid per hour).
  2. Prepare and process bi-weekly payroll for internal staff.
  3. Perform general ledger reconciliations and payroll journal entries.
  4. Generate reports as required.
  5. Assist the team in reviewing and developing internal policies and procedures.
  6. Handle bank deposits and office tasks such as supplies ordering, mailing, and filing.
  7. Distribute pay statements as required.
  8. Respond to employee and third-party inquiries, referring exceptional cases to HR.
  9. File all payroll-related forms in employee files promptly.
  10. Prepare monthly input schedules.
  11. Participate in special projects as needed.

Job Requirements:

  1. Experience with Fast Track payroll software.
  2. Experience supporting a large payroll base (300+ individuals) is desirable.
  3. Proficiency in Microsoft Access, Excel, and Word is an asset.
  4. Strong interpersonal skills and ability to work as part of a team.
  5. Initiative and problem-solving skills.
  6. Excellent organizational and time management skills with attention to detail.
  7. Excellent written and verbal communication skills.
  8. Experience working in a fast-paced, high-volume environment.
  9. Superior attention to detail.
