Patient Support Advisor (PM Shift) Maternity Cover

We are looking to recruit a Patient Support Advisor to join our Patient Support Team at Abbey House Medical Practice.

The focus of this role is to provide a complete reception and telephone triage service to our patients whilst maintaining patient confidentiality and promoting the professional image of Abbey House Medical Practice. You will also provide administrative support for all aspects of general medical business including scanning, prescription processing, filing of medical records, and patient registrations.

The Patient Support Team is always busy, so there is never a dull moment. If you are looking for a job that offers great variety within a friendly team, this could be the perfect opportunity for you!

This is a maternity cover position until 30th June 2026, with a view to becoming a permanent position for the right candidate. The hours are 25 per week, Monday to Friday, with a 5-hour shift to be worked per day between 13:00 and 20:00.

Main duties of the job

We seek an enthusiastic, approachable, compassionate, and organized individual who can work as part of a team. Excellent customer service skills and the ability to multitask are essential. The successful candidate must demonstrate good communication skills, both face-to-face and over the telephone and in writing, and be able to actively listen to patients and colleagues.

A basic knowledge of computers is essential. Experience with Microsoft Windows or SystmOne is an advantage, but full training will be provided.

Previous experience working in a reception setting or with appointment systems is desirable.

Job responsibilities
  1. Opening premises, restoring telephone and computerised appointment systems at the start of the day, and switching over systems at the end of the day, including recording new messages.
  2. Receiving and routing patients efficiently and courteously upon arrival.
  3. Making new and follow-up appointments, both face-to-face and via telephone.
  4. Handling general inquiries and promoting services offered by the Surgery.
  5. Informing patients of cancelled appointments.
  6. Receiving payments from patients and providing receipts when required.
  7. Completing T/R forms and making necessary computer entries.
  8. Using computers as required.
  9. Keeping the reception area tidy and ready for incoming colleagues, with information on unresolved or urgent matters.
  10. Preparing refreshments for visitors and doctors as needed.
  11. Tidying waiting areas when necessary.
  12. Dealing with all incoming and outgoing post.
  13. Ensuring sufficient stationery supplies are available.
  14. Testing fire alarms regularly.
  15. Updating change of address forms in the computer.
  16. Preparing antenatal packs as required.
  17. Photocopying and shredding documents as needed.
  18. Issuing self-certification forms for patients.
  19. Registering new patients, preparing their files, and inputting relevant information into the system, including immunisations, cytology results, and rubella status for female patients.
  20. Scanning correspondence, forwarding emails, and updating electronic records.
  21. Managing repeat prescriptions and related administration.
  22. Updating patient notes and adding read codes as directed by doctors.
  23. Ensuring summaries are accurately added to patient notes.
  24. Keeping accurate appointment statistics.
  25. Providing clinical administrative support.
  26. Performing any other duties as required and agreed upon by the doctors and Practice Manager.
