Job description

Wellington Practice is a small, friendly surgery based at Aldershot Centre for Health in Hampshire (GU11 1AY). With almost 6,500 registered patients and rising, we are a busy yet supportive team working closely together to ensure we deliver an excellent service to our patients.

Our Patient Services Coordinators are not just our first point of contact; they provide support to our clinical team and are involved in a wide variety of medical admin duties, including workflow management, prescriptions, pathology, and liaison with care homes, multidisciplinary teams, and more.

As an experienced Patient Services Coordinator, we expect you to demonstrate a professional telephone manner, excellent IT and communication skills, and a commitment to promoting and delivering excellent patient-centered services.

We try to keep to a fixed reception shift pattern at Wellington, which could involve working one evening a week until 19:00 and/or a Saturday on a rota basis, generally one Saturday. We are looking for experienced candidates seeking 27-30 hours per week with fixed days/shifts. Flexibility is a must to cover for team colleagues during absences and to meet extra demands. Main duties of the job
  • Open and close the reception area, consulting rooms, and other rooms
  • Provide an effective and efficient reception service to patients
  • Book and cancel appointments
  • Handle telephone calls as required
  • Take messages ensuring accuracy and prompt delivery
  • Explain registration processes to new patients
  • Advise patients of charges for private services
  • Process requests for repeat prescriptions
  • Filing, scanning, and workflow management
  • Maintain a tidy waiting area
  • Cover all reception duties during staff absence
  • Care navigation and signposting to services
  • Communicate effectively verbally and on the phone with patients and health professionals
About us

We are a growing GP practice with 6,500 patients, up from 3,200 three years ago, reflecting the population growth in Aldershot. Located in a multi-health service health centre with onsite parking, our small team includes GPs, nurses, support staff, and PCN staff supporting practices in Aldershot. We are busy but friendly and supportive.

Job responsibilities
  • Open and close the reception and consulting rooms during the day
  • Ensure effective reception services for patients and visitors
  • Book and cancel appointments; record home visits and liaise with paramedic services
  • Handle telephone communications and messages
  • Coordinate with the clinical team and explain practice procedures to new patients
  • Manage private service charges, payments, and receipts
  • Handle repeat prescription requests
  • Maintain accurate records and workflow, including filing and scanning
  • Keep the waiting area clean and tidy
  • Cover reception duties during sickness and leave
Additional duties
  • Thorough knowledge of practice procedures and adherence to protocols
  • Attend staff meetings and training
  • Ensure correspondence and reports are filed promptly
  • Process appointment requests and enter home visit requests accurately
  • Use EMIS Web and other systems effectively
  • Maintain confidentiality and handle sensitive information with discretion
Person Specification
Experience
  • GCSE Grade A-C or equivalent
  • Experience working with the public and in healthcare settings, particularly GP practices
  • Excellent communication skills, both written and oral
  • Proficient in Office and Outlook
  • Strong time management, team working, and problem-solving skills
  • Empathetic, flexible, motivated, and able to work under pressure
