Job description

Wellington Practice is a small, friendly surgery located at Aldershot Centre for Health in Hampshire (GU11 1AY). With almost 6,500 registered patients and increasing, we are a busy yet supportive team dedicated to providing excellent patient care.

Our Patient Services Coordinators are the first point of contact for patients and support our clinical team with a variety of administrative duties including workflow management, prescriptions, pathology, and liaison with care homes and multidisciplinary teams.

We seek experienced Patient Services Coordinators who demonstrate professionalism, excellent IT and communication skills, and a commitment to patient-centered service. Flexibility is essential to cover shifts, which may include one evening until 19:00 and/or a Saturday on a rota basis. We offer competitive pay, annual leave, and NHS Pension Scheme membership.

Main Duties
  • Open and close the reception area, consulting rooms, and other rooms as needed
  • Provide effective and efficient reception services to patients
  • Book, cancel, and manage appointments
  • Handle telephone calls, messages, and patient inquiries
  • Explain registration processes to new patients
  • Advise on charges for private services
  • Process repeat prescriptions
  • Maintain filing, scanning, workflow, and ensure the waiting area is tidy
  • Cover reception duties in staff absence
  • Provide care navigation and signposting to services
About Us

We are a growing GP practice with 6,500 patients, up from 3,200 three years ago, reflecting local population growth. Our team includes GPs, nurses, support staff, and PCN members, working in a multi-health service center with onsite parking. We are friendly, supportive, and busy.

Additional Responsibilities
  • Ensure all practice procedures are followed
  • Attend staff meetings and training
  • Manage correspondence, reports, and results promptly and accurately
  • Process appointment requests and manage home visit entries
  • Use EMIS Web for clinical system access, updates, and prescription processing
  • Maintain confidentiality at all times, respecting patient and staff privacy in accordance with practice policies
Person Specification
Experience
  • GCSE A-C or equivalent
  • Experience working with the public and in healthcare settings, especially GP practices
  • Excellent communication skills, both written and oral
  • Proficiency in Office and Outlook
  • Good time management and organizational skills
  • Ability to work independently and as part of a team
  • Interpersonal skills, problem-solving, and empathy
  • Experience with EMIS and Docman is desirable
