Devonshire Green & Hanover Medical Centre

We are looking for 2 Patient Services Advisor/Administrators to join our friendly, supportive two-site practice in Sheffield. We have 2 roles available: Role 1 is 20 hours a week, and Role 2 is 24 hours a week. The hours are negotiable around our core surgery opening times: 8.30am - 6.30pm (Mon, Tues, Wed & Fri) and 8.30am - 1.30pm Thurs. Possible hours for Role 1 are 8.30am-1.30pm Tuesday, 8.30am-6.30pm Wednesday, and 8.30am-1.30pm Thursday. For Role 2, hours are 8.30am-6.30pm Monday, 1.30pm-6.30pm Tuesday, 8.30am-1.30pm Wednesday, and 8.30am-12.30pm Thursday.

Experience in a Primary Care setting and knowledge of SystmOne would be advantageous.

The team comprises clinical and administrative staff, with various wrap-around services. We are also active members of the Heeley Plus Primary Care Network.

We are an active training practice with a strong history of postgraduate medical education and research activities.

Main duties of the job

Key Duties and Tasks

  1. Preparing reception, waiting areas, and consulting rooms for each surgery session.
  2. Receiving and routing patients courteously and efficiently upon arrival.
  3. Directing patients through care navigation to appropriate services.
  4. Answering calls promptly, handling inquiries, explaining procedures, booking appointments, and processing prescription requests.
  5. Registering new patients.
  6. Scanning letters, results, and records.
  7. Maintaining tidiness in the reception area and passing on unresolved matters.
  8. Ensuring premises security at day's end.
  9. Supporting clinical staff, including acting as a chaperone when needed.
  10. Undertaking other administrative duties as assigned.

Our practice operates from two medical centres in Sheffield: Hanover Medical Centre at 100 William Street, S10. We have a team including two salaried GPs, three GP Registrars, a Physicians Associate, Practice Nurses, a Health Care Assistant, and administrative staff. We serve approximately 9,300 patients, including many homeless individuals, with a commitment to high-quality, accessible care for disadvantaged groups.

Person Specification
Qualifications
  • GCSE grade A-C in English and Maths or equivalent.
  • Experience in a GP practice and familiarity with SystmOne or Emis Web.
