Qualifications

Patient Flow Coordinator (Registered Veterinary Nurse)

START DATE: Autumn/ Winter 2026 SALARY: Up to £40,000 DOE

Role Overview

A rare opportunity has opened at London Vet Specialists for a Registered Veterinary Nurse to join our team as a Patient Flow Coordinator! This role is key to optimising the patient workflow of a multi-disciplinary referral hospital, ensuring our patients are safely and efficiently scheduled for investigations and surgery, with overall autonomy to direct and coordinate our hospital each day. This is a unique opportunity to diversify your veterinary nursing career by stepping into a clinical-adjacent position, piecing together the puzzle of our daily caseload management while utilising your skills and knowledge as an RVN.

The Patient Flow Coordinator will be responsible for working collaboratively with all teams across the hospital to deliver an optimal patient flow through our services. Your responsibilities include patient admit processing, case scheduling and communication through our hospital workflow screens, liaising with the anaesthesia, diagnostic imaging and wards teams, emergency referral triage through telephone discussion with our referring vet & RVN colleagues, and case acceptance in line with service & hospital-wide capacity and our emergency acceptance processes. You will also assist with keeping accurate hospitalisation records in the SmartFlow patient management system to ensure our inpatients are appropriately managed during their hospitalisation from point of admission.

This is primarily a clinical-adjacent nursing role, though there will be rotations through our clinical services on induction for understanding of our hospital flow process. The role is suited to a Registered Veterinary Nurse seeking a dynamic but different nursing role for a new challenge leading the clinical workflow within a multi-disciplinary referral hospital, where previous referral experience is advantageous.

This is a great opportunity to step into a pivotal leadership role; without direct line management duties at this time but with scope to develop into this in the future where desired. You will join the nursing team of 35; including our Head of Nursing Services, 5 Lead RVNs, 18 RVNs, 1 SVN, 2 Theatre Technicians & 8 Patient Care Assistants. Your role is supported by 7 RVNs trained into the patient flow responsibilities, to allow for guidance and flexibility as required.

Key Responsibilities
  • Coordinate patient investigations and surgery through our workflow scheduling board screens, considering imaging, anaesthesia and theatre capacity, as well as kit and equipment availability.
  • Liaise with the clinical teams for patients admitted requiring procedure(s) for efficient scheduling across all services, and updating the schedule throughout the day.
  • Accept emergency referral calls for telephone triage to obtain case information in discussion with our referring vet practice colleagues to assess suitability for acceptance in line with our emergency acceptance processes.
  • Process patients being admitted to the hospital, including ID confirmation and labelling, belongings labelling, admission to Animana practice management system, SmartFlow inpatient management system template set-up, Brucella Canis policy compliance and teamwide communication regarding infectious patients of zoonotic risk.
  • Plan daily caseloads in advance to ensure scheduling of surgical theatres, imaging suites and anaesthesia personnel can be maximised while not compromising patient safety or team capacity.
  • Host patient flow meetings, engaging with our team to consider our ways of working for workflow amendment, improvement and optimisation.
  • Provide or assist with patient triage on arrival to the hospital for direction to the clinical team/ ICU as appropriate or suitability to wait for scheduled clinician appointment.
  • Take part in team reflections of incidents and near misses, to continually improve our patient care and safety, including Halo reporting.
  • As a cat-friendly clinic, you will support the International Society of Feline Medicine (ISFM) cat-friendly standards across the hospital.
  • As a dog-friendly clinic, you will support the Dogs Trust and British Veterinary Behaviour Association (BVBA) dog-friendly standards across the hospital.
  • Take part in a range of team committees, such as our Sustainability, Culture & Wellbeing or Dog/Cat-Friendly committees, to both explore areas of personal interest and help to shape our impact, culture and standards as a hospital.
