Job SummaryNeurology Department - Pathway Coordinator (Medical Secretary)An exciting opportunity has arisen for a Pathway Coordinator to join the Neurology team, based on level 10 at Derriford Hospital.
The role is demanding and interesting and will require someone who is flexible and able to work well within a busy environment, has attention to detail skill to manage a variety of tasks to meet deadlines within the service.
We are looking for an enthusiastic, capable and motivated individual to join our team. The post-holder will be working closely with clinical and administrative colleagues to ensure tasks are completed to a high standard to ensure the smooth running of the service.
The ideal candidate must have a flexible 'can do' attitude and the ability to use own initiative with excellent communication/interpersonal and IT skills.
Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.Main duties of the job- The post holder will be responsible for making an active contribution to the management and co-ordination of the work of the clinical office. This will include:
- ensuring the delivery of a high quality service to the clinical teams
- enabling the delivery of all access standards
- compliance with administrative process, policy and guidelines.

Job DescriptionJob responsibilities- Have knowledge of the latest local and national access standards and targets relevant to the specialty.
- Support the proactive management of all relevant waiting lists and target reports, ensuring that patients do not breach their target waits including 2ww patients in accordance with local and national guidelines.
- Ensure that patients are proactively managed and are pulled through the administrative systems designed to support their care journey e.g. obtaining diagnostic results for review, DNAs, removal from waiting lists, expediting referrals, etc.
- Minimise all data quality issues.
- Action data quality and other reports as directed by the Clinical Administration Manager.
- Update databases and audit management where relevant.
- Follow the Trust's APN guidelines and any other standard processes within the Trust.
- Ensure that all outpatient clinical sessions are booked with appropriate patients efficiently.
- Ensure correspondence received into the department is dealt with efficiently.
- Attend specialty meetings as required.
- Follow standard processes regarding the management of clinic cancellations.
- Manage inpatient and/or day case admissions and theatre bookings in accordance with clinical protocol and Trust policy.
- Manage patients on a long-term condition pathway according to clinical protocol and Trust policy.
- Manage patient case-notes in accordance with Trust policy.
- Answer and deal with telephone queries from colleagues and patients in a timely manner.
- Be fully conversant and comply with all Trust standard processes, policies, and guidelines.
- Contribute towards the achievement of all administrative quality and performance standards.
- Support the management of clinical commitments and the diaries for the relevant clinical team.
- Respond promptly to all complaints to minimise the risk of them becoming more formal, seeking advice where necessary.
- Communicate with all levels of healthcare staff, including GPs, and deal with anxious patients and their relatives/carers with tact, patience, and discretion.
- Cover colleagues during annual/sick leave and supervise new staff/students.
- Use the Trust IT systems daily to produce and extract information for patient care.
- Provide general administrative support to the clinical team and the clinical pathway as appropriate.
Carry out any other duties as directed by the Clinical Administration Manager/Specialty Co-ordinator.
Person SpecificationKnowledge & Experience Essential- Demonstrable proven knowledge of waiting list management.
- Demonstrable proven knowledge of patient management systems.
- Excellent organisational skills.
- Ability to use own initiative.
- Ability to resolve conflicting situations.
- Able to work within an agreed performance and quality framework.
Qualifications Essential- NVQ level 3 in either business administration or related subject or equivalent demonstrable experience.
- Proven OCR III keyboard skills or equivalent.
Desirable- Proven AMSPAR or equivalent demonstrable experience.
