MyNewTerm in the United Kingdom is seeking a dedicated Pastoral Support Officer to join the academy's Pastoral Team. You will monitor student wellbeing, analyse attendance data, arrange meetings with staff, parents and external agencies, and coordinate transitions between year groups to support smooth progression.

Responsibilities

  • Academic Monitoring and Intervention: Identify students at risk of underachievement via data analysis (including attendance) and devise bespoke strategies and interventions.
  • Arrange meetings with parents, staff, students and outside agencies to discuss underachievement or pastoral issues.
  • Mentor students individually or in groups, coordinating with form tutors and YEAR LEADER as needed.
  • Provide regular mentoring to CLA students, prepare for PEP meetings, review targets and attend PEP meetings.
  • Identify and track progress of specific groups using the academy’s tracking software.
  • Collect, enter and use academy data to support analysis and presentation.
  • Organise, track and evaluate pastoral interventions.
  • Support pastoral administration and analysis of reports.
  • Liaise with A&W manager to support students who are poor attenders.
  • Lead on in-year admissions administration including tours, paperwork, induction, and transition into the academy.
  • Support and Consequences: Act as initial contact for incidents unless escalation is required; gather information and log it; support restorative work with students.
  • Conduct post-consequence meetings to explore underlying factors and support Year Leader actions.
  • Communicate with parents, staff and students to keep them informed about pastoral concerns and celebrate successes.
  • Support the rewards programme and recognise student achievements, attendance, effort and conduct.
  • Support Year Leaders with year 6-7 transition procedures and in-year transition events; assist with Careers education and internal exams.
  • Support students with social, emotional, or mental health difficulties through regular check-ins and signposting to services.
  • Safeguarding and Welfare: Provide support for disadvantaged students and communicate with parents; attend relevant meetings.
  • Follow GDPR and data protection procedures; record safeguarding concerns in CPOMS.
  • Undertake safeguarding training and follow procedures.
  • Record safeguarding concerns in CPOMS.
  • Hold one-to-one wellbeing meetings with students and signpost to appropriate services.
  • Support referrals to external agencies per safeguarding procedures.
  • Assist with tasks for DSL, Lead Practitioner for Safeguarding, Year Leaders and Attendance and Welfare Manager.
  • Other: Attend Pastoral Team/Staff Development meetings, parents’ evenings, PD Days/Twilights and school trips; participate in duty rota and lunch detentions; supervise classes during staff absences; undertake other duties as directed by Year Leader/SLT.

Job description

MAIN PURPOSE OF THE POST:

To support the Year Leadersto provide the most effective care, monitoring, guidance, and support so that positive student wellbeing contributes to excellent student progress.

Attend and respond to lesson callouts, providing timely support to staff and students to help maintain a positive learning environment and support successful reintegration into lessons where appropriate.

To be part of the Pastoral Team of staff and be willing to act in support across the age range when necessary.

To be willing to take on an additional role within the academy dependent on the skills and qualities the post holder possesses to support the smooth running of the academy.

KEY RELATIONSHIPS:

The post holder will be responsible to the Assistant Head, Year Leaders and be required to work closely with teaching and non-teaching staff, SENDCO, Designated Safeguarding Lead (DSL), Attendance and Welfare manager, and have contact with students, parents, and external agencies.

DUTIES:
Academic Monitoring and Intervention
  • 1. Jointly, with Year Leaders, identify students through data analysis (including attendance) who may be in danger of underachieving and devise bespoke strategies and interventions to address barriers to learning.
  • 2. Arrange meetings with parents, staff, students and outside agencies as necessary to discuss underachievement and/or any pastoral issue impacting on learning.
  • 3. Mentor students - individuals or groups - communicating with form tutors, subject teachers and YEAR LEADER where necessary.
  • 4. Provide regular mentoring to CLA students, liaise with Designated Teacher to prepare for PEP meetings, review targets and attend PEP meetings.
  • 5. Identify and track progress of specific groups of students using the academy’s tracking software.
  • 6. Collect, enter and use academy data to support academic and pastoral analysis, and present data for purposes of analysis, monitoring and presentation.
  • 7. Organise, track and evaluate pastoral interventions where appropriate.
  • 8. Support with pastoral administration and in the analysis of reports.
  • 9. To liaise with, when appropriate, the A & W manager re: supporting students who are poor attenders.
  • 10. Lead on the administration of in-year admissions, including arranging tours, processing admission paperwork, liaising with families and external agencies, coordinating induction arrangements and ensuring a smooth transition into the academy.
Support and Consequences
  • 1. To be initial contact for any incidents that occur unless the gravity of the incident requires immediate escalation to Year Leader/SLT.
  • 2. Gather information relating to behaviour or pastoral incidents, ensuring all perspectives are heard and appropriate support is identified, arranging supervised reflection space where appropriate and ensuring any information is logged.
  • 3. Support students and staff with restorative work/conversations to enable students to access learning.
  • 4. Where incidents are more serious, conduct investigation until the Year Leader is available to discuss the matter and decide on appropriate action and support Year Leader to carry out this action.
  • 5. Under the direction of the Year Leader, conduct post consequence meetings with students to explore underlying factors contributing to repeated behavioural concerns.
  • 6. Communicate with parents, staff, and students, if necessary, in order to keep them informed about any concerns of a pastoral nature, but also to celebrate success.
  • 7. Support the administration, promotion and celebration of the academy rewards programme, ensuring students' achievements, attendance, effort and positive conduct are recognised and celebrated regularly.
  • 8. Support the Year Leader in all aspects of the Year 6 -7 transition procedure, including attending meetings/events as required.
  • 9. Support the Year Leader in any ‘in-year’ transition events that are developed as a way of easing the transition into secondary education.
  • 10. Support the Year Leader in all aspects of the post-16, out of school events, Careers education processes / procedures, internal exams, and student references.
  • 11. Support students experiencing social, emotional or mental health difficulties through regular check-ins, intervention programmes and signposting to appropriate services.
Safeguarding and Welfare
  • 1. Provide support for Disadvantaged students (including CLA and Young Carers), involving communication with parents/carers, attendance at relevant meetings, completion of relevant paperwork and feedback to DSL/DT Lead where necessary.
  • 2. Follow all protocols of GDPR, data protection and confidentiality whilst sharing the monitoring findings, concerns, and relevant information with key staff as appropriate.
  • 3. Undertake relevant Safeguarding training as appropriate and always follow safeguarding procedures.
  • 4. Record safeguarding concerns on the child protection online management system (CPOMS)
  • 5. Hold one to one meetings with students to ensure their wellbeing and address any concerns.
  • 6. Support referrals to appropriate external agencies in line with academy safeguarding procedures.
  • 7. To complete tasks (as and when required) for the DSL, Lead Practitioner for Safeguarding, Year Leaders and Attendance and Welfare Manager.
Other
  • 1. Attend Pastoral Team / Staff Development meetings, parents’ evenings as appropriate, PD Days/Twilights (as required), school trips and other academy events.
  • 2. Be part of the duty rota team (including Assembly Supervision Rota) and lunchtime detentions.
  • 3. Provide classroom supervision for short-term staff absence where appropriate and directed.
  • 4. Undertake any other duties as designated by the Year Leader /SLT
