About the Frieze Production Department:

The Production team is responsible for delivering all physical elements of the fairs, ensuring safety, timeliness, and success. This operational team, based in London, consists of two subsets, each led by a Head of Department:

Exhibitor Production: Focuses on production elements related to exhibitors, including booth builds, artwork installation, technical support, drafting, floor planning, art shipping logistics, Frieze Sculpture management, programming support, production schedules, and Health & Safety.

Fair Production: Encompasses all other fair areas, including tent builds & infrastructure, F&B, contract management, partnership lounge support, non-gallery build, fair design, site infrastructure, security, cleaning, contractor management, production schedules, and Health & Safety.

Each fair has a Production Manager, reporting to the Head of Fair Production, responsible for all fair production elements and coordination with various departments. Typically, a Production Manager works on one UK and one US show. The Exhibitor Production Department works across all fairs but is more involved in US fairs, acting as the stand-build vendor internally for US shows.

Frieze FRAME: This new department acts as the in-house production agency for brand activations at Frieze Fairs, primarily sold to sponsors, providing turnkey production management.

This role is within the Fair Production team, reporting to the Partnerships Production Manager, and is responsible for coordinating and administering partner activations across all five Frieze fairs. It supports the Partnerships Production Manager in delivering onsite activations.

Key Responsibilities and Accountabilities:

  1. Coordinate and attend meetings, take minutes, and follow-up actions with team members and the wider Production team.
  2. Prepare and manage the Partnerships Production timelines.
  3. Maintain, update, and reissue the online Sponsor Production Manual across all Fairs to partners.
  4. Liaise with the Partnerships team for necessary information.
  5. Support the Partnerships Production Manager in managing deadlines, collating, and tracking submissions (plans, permits, insurance, RAMS, etc.).
  6. Support the coordination and scheduling of production activities, including vehicles and staffing.
  7. Maintain Sponsor Production files with organized records before and after Fairs.
  8. Provide additional administrative support to the Partnerships Production Manager and Head of Fair Production in all sponsor-related activities.
  9. Assist in creating, maintaining, and improving project tracking and implementation practices.

Please Note:

  1. Overseas travel may be required for up to two weeks to the US or South Korea, subject to change based on show requirements.
  2. Extended hours may be necessary to meet deadlines and during on-site activities.

Knowledge & Experience:

Mandatory:

  • Experience in fast-paced, high-pressure environments, ideally in events or arts.
  • Experience delivering excellent client service and maintaining external relationships.
  • Previous experience in administrative or coordination roles.
  • Experience working with stakeholders.
  • Proficiency in Microsoft Office, especially Excel.

Desirable:

  • Health & Safety qualifications or experience.
  • Experience with art fairs or large-scale public events.
  • Health & Safety experience outside the UK.
  • Clean Driving License.
  • Experience managing multiple contractors.
