Job description

Part-Time Warranty / Service Administrator

Location:

Working Hours:
Insert days/times, e.g., 3 days per week, 9:00 am - 3:00 pm

Reports To:
Service Manager / Aftersales Manager

Job Purpose:
To support the service department by ensuring accurate and timely processing of warranty claims and service administration tasks. This role ensures customer satisfaction by assisting with service-related paperwork, maintaining records, and liaising with manufacturers regarding warranty submissions and approvals.

Key Responsibilities:
Process and submit manufacturer warranty claims accurately and within deadlines
Monitor and track warranty claim status and resolve any issues or queries
Maintain up-to-date knowledge of manufacturer warranty policies and procedures
Assist with service administration duties including invoicing, job card management, and customer follow-ups
Liaise with technicians, service advisors, and parts department to gather necessary information
Ensure all documentation is complete and compliant with audit standards
Maintain accurate and organised digital and physical records
Handle incoming calls and emails related to service and warranty enquiries
Support the wider service team during busy periods or staff absence

Key Skills & Experience:
Previous experience in a motor trade environment (preferred)
Understanding of vehicle servicing and warranty procedures
Strong administrative and organisational skills
Good attention to detail and accuracy
Proficient in Microsoft Office and dealership management systems (e.g., Kerridge, Pinnacle, CDK - desirable)
Excellent communication skills (written and verbal)
Ability to work independently and manage workload efficiently

Qualifications:
GCSEs (or equivalent) in English and Maths
Relevant administrative or motor trade qualifications are a plus
