Part Time UK Accountant - Aviation Industry

Part Time UK Accountant - Aviation Industry (Crawley, UK)

Location: Crawley, West Sussex

Industry: Aviation Aftermarket

Employment Details: 8-16 hybrid hours per week, in-office touchpoints during the first 90 days and at least monthly

Reports to: US-Based Controller (Accounting Department)

Company Overview:
Pioneer Aero Supply is a global aviation aftermarket supplier with a newly established UK operation. We seek a reliable and detail-oriented UK Accountant to provide temporary support during a critical growth phase. This role is ideal for a skilled accounting professional with strong VAT, payroll, and import/export compliance experience, particularly within aviation or logistics-heavy industries.

Key Responsibilities:

Core Financial Operations

  • Process day-to-day financial transactions: vendor invoices, customer billings, general ledger entries in QuickBooks Online
  • Code, approve, and ensure timely payment of invoices
  • Monitor UK bank activity, prepare weekly cash flow reports, and reconcile transactions
  • Manage accounts payable and receivable, liaising with UK vendors/customers to track payments and collections
  • Support the preparation of monthly management accounts and assist with reconciliations, expense tracking, and invoice generation
  • Maintain accurate fixed asset records and calculate depreciation
Tax, VAT & Compliance
  • Prepare and file quarterly VAT returns, ensuring correct treatment of EC sales, duty relief, CPC codes, and reverse charges
  • Coordinate monthly RTI and PAYE submissions with the payroll provider
  • Assist with year-end tax filing, support external accountants, and gather necessary documentation for Corporation Tax
  • Serve as local contact for HMRC correspondence, responding to queries, audits, or requests
    Support annual Companies House filings, including confirmation statements and director updates
Payroll & Reporting
  • Working with US US-based HR Administrator, liaise with the external UK payroll provider to ensure accurate and timely monthly payroll
  • Reconcile payroll reports and prepare statutory deductions and pension contributions
  • Assist with preparing reports for group financial consolidation and year-end audits
  • Track intercompany transactions and support documentation for transfer pricing compliance
Administrative Support & Office Coordination
  • Provide general administrative assistance to ensure smooth office operations
  • Scan, file, and electronically maintain all incoming mail and documentation
  • Chase vendors for timely responses and confirm invoice/payment accuracy
  • Order and maintain office supplies; liaise on utilities, rent, and office expenses
  • Ensure recordkeeping in compliance with UK statutory retention periods
Required Skills & Experience:
  • Strong understanding of UK VAT regulations, ideally with prior aviation or logistics industry experience
  • Proficiency in QuickBooks Online (QBO) and Microsoft Excel
    Prior experience in bookkeeping and processing payments, invoices, and payroll
  • Familiarity with duty relief, CPC codes, and international shipping/import documentation
  • Experience dealing directly with HMRC and UK tax authorities
  • Excellent organizational skills with a high level of attention to detail
  • Strong communication and interpersonal skills; ability to work independently
  • Previous experience in a general administrative or office support role
  • Able to handle sensitive information with professionalism and discretion
