Part time School Receptionist - Term Time

Cantello Tayler Recruitment is currently recruiting for a Part time Receptionist for our client based in Ascot, Office based, Monday - Friday 12.30pm to 4.30pm

We are seeking a well-organised and experienced Part time School Receptionist to join our Administration Department. This key role provides front-line support for students, staff, and visitors, and is integral to the smooth running of the school day.

Key Responsibilities

  • Provide an effective and welcoming reception for the Senior School, ensuring the smooth and professional running of the reception area.
  • Manage all incoming telephone calls to the Senior School, ensuring messages are accurately noted and promptly relayed to the appropriate tutor or member of the Senior Management Team (SMT). All calls should be announced where applicable.
  • Serve as the first point of contact for pupils, staff, and parents with ad-hoc queries, such as lost property, misplaced timetables, or pupil absence.
  • Offer front-line support to pupils and parents, ensuring a helpful and responsive service.
  • Direct enquiries to the appropriate member of staff in a timely and efficient manner.
  • Communicate professionally via email, telephone, and in person with staff, pupils, parents, and external agencies.
  • Maintain pupil sign-in/out registers and the staff sign-in register, ensuring records are up to date and accurate.
  • Review and amend daily attendance registers. Follow up on unreported absences by contacting parents via telephone.
  • Provide cover for the front Receptionists during morning and afternoon breaks, as required.
  • Ensure the reception area is clean, tidy, and welcoming at all times.
  • Stay informed of school events and activities by regularly reviewing the school calendar.
  • Log and issue pupil locker keys, maintaining an accurate and up-to-date spreadsheet of allocations.
  • Follow all security procedures, including evacuation protocols. In the event of a fire alarm, ensure pupil and staff sign-in/out registers are taken to the designated Fire Point.
  • Support the Administration Department with general admin tasks and assist with school events. Provide cover during unplanned staff absence or sickness as needed.
  • Annually upload student photos to the PASS school database system.
  • Coordinate the transfer of lost property to the Parent/Teacher Association (PTA).

  • Strong ICT skills, with proficiency in Microsoft Word, Outlook, and other core Office applications
  • Competence in using school database systems (e.g., PASS, SIMS, Arbor, or equivalent)
  • Flexibility and reliability, with a positive and adaptable approach to changing priorities
  • Excellent communication and interpersonal skills, with the ability to engage confidently with pupils, staff, parents, and visitors
