A local GP practice in Richmond is seeking a dedicated Receptionist to be the first point of contact for patients, managing appointments and administrative tasks. The ideal candidate should possess excellent communication and multitasking skills, have prior experience in a GP setting, and be familiar with clinical systems like EMIS and Docman. We are a small GP Practice with a very high level of satisfaction among our patients thanks to the dedication and professionalism of all our staff.
As a Receptionist you are the first point of entry into the practice and therefore key in maintaining our reputation and our standards, whether in person or on the phone.
In this role you will be faced by varied and sometimes challenging tasks, occasionally having to deal with some uncomfortable situations. Your communication and listening skills will be critical for this. This is an exiting and satisfying role as part of a small but happy and committed team.
Main duties include greeting and assisting everyone who contacts the practice whether in person or on the phone, making, cancelling and rescheduling appointments with the clinical staff. You are expected to work 10-15 hours per week at different times respecting the agreed rotas. You are flexible and are able to do additional hours on other days to cover holidays and sickness of your colleagues. No weekend work is involved.
In addition to permanent patient contact to assist them and deal with their queries you will also have additional administrative tasks to fulfil such as patient registration, information updating, scanning documents , calling patients based on requests from the clinical staff for specific requirements, etc.
Depending on your shift you will be required to open or close the practice and perform the daily checks and controls associated with those moments.
Good communication and problem solving skills and ability to multitask are key requirements for this position
The Paradise Road Practice is a small practice located in the centre of Richmond within minutes walk of all public transport (Tube, Trains, Buses). We have 1 full time GP, two part-time GPs, one Nurse and one Health Care Assistant. The reception and administration team is made up of 6 people. We take great pride in the very high level of satisfaction our patient surveys always demonstrate.
To deal politely and efficiently with patients as the first point of contact for anyone visiting or calling the surgery.
Dealing with visitors and as a member if the practice team, provide a courteous and helpful service.
To ensure patient confidentiality is respected at all times and to adhere to the Data Protection Act.
Making routine and emergency appointments for patient to see the doctors and nurses
Checking patient details on clinical system.
Deal with requests for home visits.
Answer queries with regard to results of recent tests e.g. bloods, urine or x-ray. This includes contacting the hospital(s) for these results if necessary. Inform patients, when directed by a doctor, of the need to make a follow-up appointment at the surgery.
Accurate completion of registration forms and
Dealing with relevant forms and updating Medical Records and computer systems.
Accept requests for repeat prescriptions, hand out completed prescriptions, cancel appointments when necessary, contact the patients (s) and re-book if required.
Book patient hospital transport when required.
Contact the emergency services when necessary.
Filing, scanning and organising medical notes.
Issuing of computerised repeat prescriptions.
Assist in ordering and stock control of relevant stationery.
Checking and tidying of consulting rooms between surgeries and keeping waiting area clean and tidy.
In the morning, open the surgery and ensure everything is ready for the upcoming session. In the afternoon, close the surgery and ensure everything is locked up properly and the alarm is set.
Administrative Duties
Scanning documents onto clinical system.
Other administrative duties as required and agreed.
Ensure the existing patient information is correct and up to date and ensure that reception area is tidy and maintain cleanliness in the kitchen facilities when necessary.
Be flexible in being available for overtime in order to cover for colleagues' leave and sickness
Any other relevant duties as mutually agreed.
