Job Description:

The Garage Administration Assistant will work closely with and report directly to the Operations Manager. Responsible for ensuring the smooth daily operation of all garages administration functions. The post holder must have a thorough knowledge of all garage administration functions.

Main Responsibilities:
  • Assist Garage Management and Supervisory staff to provide efficient service;
  • Promote good employee relations and create effective working patterns for smooth garage operations;
  • Ensure compliance with garage procedures through monitoring and audits, producing reports and liaising with managers;
  • Handle public complaints and Police enquiries in accordance with company policy and legal requirements;
  • Manage garage mail and correspondence, internal and external;
  • Record and maintain details of all garage incidents/accidents, including input into IRIS system;
  • Document lost property and prepare for dispatch;
  • Maintain and update administration records for staff and issued equipment/property;
  • Prepare garage lost mileage returns and conduct audits for contract compliance;
  • Carry out period-end returns, compile payroll info, and manage external charges;
  • Record minutes of meetings and distribute them;
  • Monitor and reorder stocks of stationery and supplies to ensure efficient operation.
Essential Criteria:
  • Previous administrative experience preferred;
  • Proficiency in IT systems including Excel, Word, Email, and Oracle.

Hours of Work:

22.8 hours per week, Monday to Friday
