Executive Assistant to VP Sales – Europe & Africa

Part-time/Job Share: Monday – Wednesday | 22.5hrs

Job Description

Role description:

We are looking for a part-time Executive Assistant to work alongside the current Executive Assistant in a job-share. In this role you will perform a variety of administrative tasks, supporting our company’s senior-level managers based at our offices in West Drayton, adjacent to Heathrow Airport.

Responsibilities include managing calendars, making travel arrangements and preparing expense reports. The applicant should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of the business by providing personalised and timely support to the executive team.

Main Responsibilities

  • Act as the point of contact among executives, employees and customers
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements, including visa and testing requirements
  • Manage and submit travel and living expenses
  • Communicate with your job-share for seamless transitions each week
  • Format information for internal and external communication – emails, presentations, etc.
  • Be a point of contact for the site and work with the wider team for on-site requirements (such as couriers)
  • Providing support internal and external events - liaising/ negotiating with the DMC, agenda’s, logistics, registration websites, etc.

Experience

  • Previous experience working as an Executive Assistant, Personal Assistant or similar
  • Proficient in the use of Outlook, Word, PowerPoint and Excel
  • Experience with SSS, SAP Concur and the Box would be advantageous
  • Previous experience at a GE business would be advantageous
  • Previous experience of event management preferable.
