Job description

Part-time Corporate Legal Secretary - Thurs & Fri - Salary up to £46,000 (pro-rata) hybrid working 50/50

Main duties:
  1. Proactively manage and maintain fee-earners' diaries, schedule appointments, coordinate internal and external client meetings, and ensure all work activities are scheduled effectively, including identifying and resolving potential challenges and clashes.
  2. Have a good knowledge of fee earners' clients, liaising with other PAs.
  3. Monitor responses for meetings and update fee-earners as required.
  4. Book conference rooms, video conference facilities, taxis, refreshments, restaurants, and liaise with attendees, both internal and external.
  5. Organise travel through the firm's travel company.
  6. Perform day-to-day administrative tasks such as photocopying, scanning, and delegating to appropriate departments or team administrators, especially for large volume printing and document production.
  7. Manage new client matter openings effectively.
  8. Organise document management, including closing of files, archiving, and ensuring all relevant documents are filed electronically and in paper form if required.
  9. Handle travel invoices and expense claims submissions.
  10. Manage invoicing and billing processes.
  11. Draft letters and correspondence as required.
